CAFM and Facility Management Software

Facility management software is sold under at least four labels that overlap confusingly: CAFM, IWMS, FM helpdesk and workplace management. The label a vendor chooses tells you more about its sales motion than about what the product does, so this directory classifies every product by what we could verify it actually covers.

The distinction that matters most in practice is scope. A CAFM system is built around assets, work orders and planned maintenance. An IWMS adds property, lease and space portfolios on top, which is a much larger implementation and usually a much larger budget. A helpdesk-led product is built around dispatching a contractor against an SLA, and may hold very little asset data at all. Buying across that line by accident is the most expensive mistake in this category, and it happens constantly because all three answer yes to the question "do you do work orders".

Every profile below records capability support as yes, no or not verified, with the source for each definitive claim. Where a vendor does not publish something, the profile says so rather than guessing. Pricing appears only where the vendor publishes a figure on its own site, which in this category is uncommon: most of these products are quoted per site after a scoping call.

Nothing here is based on hands-on testing. These are documentation based profiles, and each one says so.

How to choose

How to choose in this category

Start from your asset register, not from a feature list. If you cannot describe your asset hierarchy and your work order types, no software selection will save you, because every product here will ask you to model both in the first week of implementation. Two pieces of groundwork pay for themselves before you shortlist: designing an asset hierarchy and deciding your work order types.

Decide whether you are buying CAFM or IWMS before you take a demo. Vendors will happily demo the larger product. The differences between CAFM, CMMS, EAM and IWMS sets out where the boundaries actually fall. If property and lease administration is not in scope, an IWMS is mostly cost you will not use.

Treat integration as a first-class requirement. A CAFM system that cannot receive an alarm from your BMS, or cannot post a purchase order to your ERP, will be operated as a parallel spreadsheet within a year. The two integrations that matter most in practice are covered in BMS to CAFM integration and finance system integration.

Be sceptical about mobile. Almost every vendor claims a mobile app. Far fewer support genuinely offline working, which is what actually matters in a plant room or a basement with no signal. Ask for a demonstration of creating and closing a work order with the device in airplane mode, and watch what happens on reconnection.

Ask what the implementation actually includes. The licence is rarely the largest number. Data migration, interface build and the configuration of your SLA matrix usually exceed year one licensing on a mid-size estate.

This directory is a structured index of products. For narrative guidance on choosing between them, see our CAFM software buyer comparison, which works through selection criteria and scoring in a way a product index cannot, and how to choose facility management software for the selection process itself. Frequently asked questions

Because several platforms genuinely serve more than one market. A product keeps one profile at one URL no matter how many categories list it, so you are always reading the same verified record rather than two divergent copies.

No. Every profile in this directory is documentation based and says so. Capability support is recorded as yes, no or not verified, with a source URL for every definitive claim. Where a capability could not be verified it is shown as not verified, which means exactly that: it has not been checked, not that the product lacks it.

Some do, and the quality varies widely. The useful question is not whether an integration exists but what it carries: a one-way alarm feed that raises a work order is very different from bidirectional point data with asset mapping. This directory records BMS and IoT integration as a capability with its source, and marks it not verified where the vendor makes no clear statement.

Plan for implementation to exceed first-year licensing on anything but the smallest estate. The work that costs money is data migration, interface development to finance and building systems, and configuring your SLA and escalation rules. None of that is included in a per-user price.

Because most are quoted per estate after a scoping call. Pricing depends on the number of sites, assets, named users and which modules are licensed, so a single list price would be misleading. Where a vendor does publish a figure on its own site, this directory records it with the source and the date. Where it does not, the profile says so rather than quoting a number from a review aggregator.

They overlap heavily and many products are sold as both. Historically CMMS came from maintenance and manufacturing and is strongest on equipment, spares and work history, while CAFM came from the built environment and adds space, occupancy and soft services. For most buyers the label matters far less than whether the product covers the specific capabilities you need, which is why this directory compares capabilities rather than labels.

A CAFM system manages assets, work orders and planned maintenance. An IWMS adds property, lease, space and often capital project management on top of that core. The practical consequence is scope and cost: an IWMS implementation touches finance and real estate teams, not just the FM team. If lease administration is not in your scope, the extra modules are cost you will not use.
