MaintainX
by MaintainX
AI-assisted CMMS and asset management platform for frontline maintenance teams, with a free tier, published per-user pricing and multi-site reporting on the enterprise plan.
What it is
MaintainX is the easiest product in this directory to start using and the clearest to budget for. A genuinely free tier with unlimited work orders, the lowest published entry price at USD 20 per user per month, free requester accounts, and the only published annual and monthly rates side by side. For a frontline team moving off paper, nothing else here removes as much friction.
The AI feature set is the broadest at this tier too: troubleshooting assistance, work order summaries, natural-language reporting and anomaly detection. Reference customers are genuinely large, with Cintas cited at 200 sites, so this is not only a small-team product.
Two things to weigh. The tier gating is aggressive in the places that matter: parts inventory and purchase orders are Premium at USD 65, and multi-site, IoT sensors and SSO are all on the unpriced Enterprise tier, so the full platform cost is not publicly comparable. And Autodesk announced an agreement to acquire MaintainX in May 2026 for around US$3.6bn; the homepage says "MaintainX joins Autodesk" but we could not confirm the deal has closed. Worth asking about roadmap commitments.
Capabilities
Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.
| Capability | Status | Notes |
|---|---|---|
| Work order management Creation, assignment, approval and closure of work orders. | Yes | Work orders on every tier including the free plan. Basic is capped at 2 work orders with attached procedures per month. source |
| Preventive maintenance scheduling Calendar, meter and usage-based schedule generation. | Yes | Scheduled PMs, condition-based triggers and repeating work orders, with meter-based maintenance from Premium. source |
| Mobile technician app A native mobile app for technicians, with offline capability where stated. | Yes | iOS and Android apps. Offline support was not verified in this pass. source |
| Spare parts and inventory Storerooms, stock levels, reorder points and parts issued to work orders. | Yes | Parts inventory with low-stock alerts and auto re-orders, gated to Premium. source |
| Procurement and purchase orders Purchase requisitions and purchase orders raised inside the system. | Yes | Purchase order management, gated to Premium. source |
| Multi-site operation Multiple facilities, plants or sites in one instance with separable data. | Yes | Multi-site management and reporting, on the Enterprise tier only. source |
| IoT and BMS integration Sensor, condition or building-management-system data reaching the system. | Yes | IoT sensor integrations on Enterprise, with Waites, MachineMetrics, Samsara and Ignition named. No building-management-system connector is listed. source |
| Maintenance KPI reporting MTBF, MTTR, downtime, schedule compliance and maintenance cost reporting. | Yes | Advanced analytics on every tier with history limits of 1 to 3 months below Premium, plus Report Builder on Enterprise. source |
| Documented API A publicly documented API, which is what makes every other integration possible. | Yes | Open REST API access from the Premium tier, with documentation at api.getmaintainx.com. We could read only the title of that documentation, so its depth is unverified. source |
| Asset register and hierarchy Parent-child asset structure with locations and equipment, not a flat list. | Not verified | |
| Predictive or condition-based maintenance Condition monitoring or failure prediction functions in the product itself. | Not verified | |
| Asset lifecycle and cost tracking Cost accumulated against an asset from acquisition through to retirement. | Not verified | |
| Contractor management External contractors and vendor workflows, not just internal technicians. | Not verified |

| Published price | USD 20 per user per month (Essential plan, billed annually; free Basic tier available) |
| Note | MaintainX publishes the clearest price list in the directory: Basic at USD 0 per user per month free forever, Essential at USD 20 billed annually or 25 monthly, and Premium at USD 65 annually or 75 monthly, read from its own pricing page on 7 November 2026. It is the only vendor here publishing both annual and monthly rates. Enterprise is quoted, which matters because multi-site, IoT sensors and SSO all sit there. A user is anyone with a unique login; requester accounts are free. The page prints "$" without an ISO code, so USD is inferred from a US vendor. |

Prices move and discounting is common. Treat anything here as a starting point and confirm with the vendor before budgeting.
Strengths and limitations
Strengths
- A genuinely free tier with no time limit, plus the lowest published entry price in the directory at USD 20 per user per month annually. verified source
- The only vendor here publishing both annual and monthly rates, with free requester accounts, so the cost of a large occasional audience is predictable. verified source
- Named ERP integrations with SAP and NetSuite plus an open REST API from Premium. verified source
- Multi-site management with genuinely large named references, including Cintas at 200 sites, so the product scales further than its entry price suggests. verified source
Limitations
- Parts inventory and purchase orders are gated to Premium at USD 65 per user per month, and multi-site, IoT sensors and SSO to the unpriced Enterprise tier, so the cost of the full platform cannot be compared publicly. verified source
- Hard caps on the lower tiers: two work orders with attached procedures per month on Basic, three on Essential, and analytics history limited to one to three months. verified source
- Ownership is changing. Autodesk announced a definitive agreement to acquire MaintainX in May 2026 and the homepage states it has joined Autodesk, but we could not confirm the transaction has closed or what it means for the roadmap. editorial
Who it suits
Organisation sizes: Small, Medium, Enterprise
The best starting point here for frontline maintenance teams getting off paper and spreadsheets, for small and mid-sized operations that want to be running this week, and for anyone who needs to pilot without a purchase order. Manufacturing, retail, government, distribution, hospitality, facility management, fleet and agriculture are all named.
Read the tiers carefully if you need parts inventory, purchase orders or multi-site, since those are Premium and Enterprise respectively and the Enterprise price is not published. And factor the pending Autodesk ownership change into a long-term commitment.

Frequently asked questions
More than most. Basic gives unlimited work orders, unlimited procedures, unlimited requesters and messaging at no cost, capped at two work orders with attached procedures per month and two active repeating work orders. For a very small team that is a working system rather than a demo, which is unusual in this category.
An agreement was announced in May 2026, reportedly around US$3.6bn, and MaintainX's own homepage says it has joined Autodesk. We could not find a vendor notice confirming the transaction has closed, so we record the owner as MaintainX with the deal pending rather than asserting either way. If you are signing a multi-year agreement, ask for roadmap commitments in writing.
Higher than the headline. Parts inventory and purchase orders are on Premium at USD 65 per user per month annually, and multi-site, IoT sensors and SSO are on Enterprise, which publishes no figure. Price the tier you will actually be on in year two, not the one you start on. The general pattern is in what maintenance software really costs.
