Facilio vs FMX

The two products in this directory with genuine building-systems integration, which makes this the most useful comparison here for a facilities team. Both can turn a BMS fault into a work order without a human retyping it, something most CMMS products in this tier cannot do at all. They differ in how deep that integration goes and in who they are built for.

The main differences

BMS integration depth. Facilio goes deeper: protocol-level BACnet/IP, Modbus, OPC UA and Niagara through its own IoT Edge software. FMX's EventSync names specific vendor systems, Tridium Niagara, Trane, Siemens, Johnson Controls, Automated Logic and Delta. Facilio speaks the protocols; FMX speaks to the products. For a mixed estate Facilio is more flexible; for one of those named systems FMX may be simpler.

Portfolio scale. Facilio wins clearly. Cross-site KPI dashboards with per-property drill-down and PM template changes rolled out across thousands of assets and locations at once. FMX offers multi-site visibility filtered by building, campus or region, which is real but less ambitious.

Contractor management. Facilio again, and substantially: credentials auto-tracked at onboarding, non-compliant vendors blocked from jobs, contractors rated against SLAs, invoices approved against work orders. FMX manages external vendors with controllable access, which is useful but not a compliance engine.

Purchase orders. FMX wins, and it is Facilio's one conventional gap. FMX documents POs emailed to vendors, receiving that restocks inventory, and approval chains on dollar thresholds. Facilio documents no PO functionality; its procure-to-pay story stops at invoice approval, with invoice checking listed as upcoming.

Reliability metrics. Facilio has MTTR, MTBF and SLA dashboards native. FMX has reporting and dashboards without those metrics named.

Who they are for. Facilio targets commercial real estate portfolios and FM service providers. FMX targets schools, government and non-profits, with enrolment-based pricing for K-12 public schools. Neither publishes a price.

Work order management Yes Auto-generated from inspections or alerts, with automated escalation workflows and mobile updates with photo capture. source Yes source
Preventive maintenance scheduling Yes Time-based, usage-based and OEM triggers, with PM templates that auto-generate checklists and can be rolled out to thousands of assets at once. source Yes source
Predictive or condition-based maintenance Yes Anomalies flagged before failure, condition-based triggers and fault detection and diagnostics. The strongest condition-based story here, though no standalone predictive module is named. source Not verified
Mobile technician app Yes QR and barcode scanning, condition logging and inventory updates, with work, asset and inventory actions available offline and auto-sync. GPS and geofencing verify technician location. source Yes An FMX Work List app exists for iOS and Android, although the Work Manager page describes a web app rather than a native one. Offline support is not documented and the vendor's own pages conflict, so offline is unverified. source
Spare parts and inventory Yes Reorder alerts at minimum stock levels, parts linked to work orders and consumption tracked per asset. source Yes source
Procurement and purchase orders Not verified Yes Purchase orders emailed to vendors, receiving restocks inventory, and approval chains based on dollar thresholds. source
Asset lifecycle and cost tracking Yes Lifecycle milestones, costs and conditions monitored to support repair, replace or renew decisions, with warranty data captured. source Yes Capital Planner gives last-12-month and average annual cost per asset, multi-year replacement forecasting and maintenance-cost-to-replacement-value benchmarks. source
Multi-site operation Yes One live dashboard across all sites with drill-down per property and PM changes rolled out across locations. The strongest portfolio story in this directory. source Yes Multi-site visibility, filtering work, reports and assets by building, campus or region. source

IoT and BMS integration Yes Protocol-level: BACnet/IP, Modbus, OPC UA and Niagara, with a BMS fault automatically creating and assigning a work order, via the Facilio IoT Edge software. source Yes EventSync supports Tridium Niagara, Trane, Siemens, Johnson Controls, Automated Logic and Delta, creating a work order on an alarm state. IoT sensors via Monnit and Samsara. source
Maintenance KPI reporting Yes Live dashboards for MTTR, MTBF and SLA, scheduled reports, export to Excel, CSV, PDF or BI tools, and a no-code report builder. source Yes source
Documented API Yes Public versioned REST APIs with an interactive Swagger UI and sample code, SDKs, and FOQL, a SQL-like query language. source Yes A documented REST API with endpoints for equipment, work requests, work tasks, users and buildings. Note it is a paid add-on rather than included. source

Not verified means the capability has not been checked for that product. It does not mean the product lacks it. Blank cells and unverified rows are never counted as a "no".

Strengths and limitations

Drawn from each product's own profile, where every item is labelled a verified fact or an editorial judgement.

Which to choose

Choose Facilio for a commercial property portfolio or an FM service provider: protocol-level BMS connectivity, genuine cross-site operation, contractor compliance and SLA performance, and native reliability metrics. Accept that purchase orders are not in the product.

Choose FMX for a school district, campus or local authority: named BAS connectors, a real purchase order module with approval chains, capital planning with repair-versus-replace benchmarks, and an education pricing model that per-seat competitors cannot match.

The integration architecture both rely on is set out in BMS and CAFM integration, and the alert design that stops it becoming noise is in alert deduplication between BMS and CMMS.

Sources and review basis

Attribute values come from each product's structured profile rather than being written into this page, so a correction made once appears everywhere. This comparison was last reviewed on 7 November 2026. Assessment of this category is documentation-based, not hands-on testing of every product.

Disclosure

Alongside advisory work I also build a CMMS and CAFM platform, so I have a commercial interest in enterprise software generally. No vendor here has paid for inclusion, placement or wording, and there are no reseller or affiliate arrangements.

Deciding between these?

Independent help scoring them against your actual requirement rather than a feature list, and designing the integration work that follows. No reseller arrangements.
