Facilio Connected CMMS
by Facilio
The maintenance module of Facilio's cloud facilities platform, covering work orders, preventive maintenance, inventory, inspections and contractor SLAs, with protocol-level BMS and IoT connectivity.
What it is
Facilio is a different class of product from most of this group, and the difference is protocol-level. BACnet/IP, Modbus, OPC UA and Niagara connectivity through its own IoT Edge software means a BMS fault can automatically create and assign a work order. That closed loop, from building system to technician, is what the other specialised tools here cannot do at all, and only FMX approaches.
It is also the strongest product in this directory on three things that usually require enterprise licensing: portfolio-scale multi-site operation with cross-site KPI dashboards and per-property drill-down; contractor management with credential tracking, automatic blocking of non-compliant vendors and SLA ratings; and native MTTR, MTBF and SLA reporting rather than metrics you have to build.
The developer surface is the best documented here: versioned public REST APIs with an interactive Swagger UI, SDKs and a SQL-like query language. Against that, purchase order functionality is not documented, the procure-to-pay story stops at invoice approval, and a substantial part of the marketed AI suite is still flagged as upcoming rather than shipping.
Capabilities
Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.
| Capability | Status | Notes |
|---|---|---|
| Work order management Creation, assignment, approval and closure of work orders. | Yes | Auto-generated from inspections or alerts, with automated escalation workflows and mobile updates with photo capture. source |
| Preventive maintenance scheduling Calendar, meter and usage-based schedule generation. | Yes | Time-based, usage-based and OEM triggers, with PM templates that auto-generate checklists and can be rolled out to thousands of assets at once. source |
| Predictive or condition-based maintenance Condition monitoring or failure prediction functions in the product itself. | Yes | Anomalies flagged before failure, condition-based triggers and fault detection and diagnostics. The strongest condition-based story here, though no standalone predictive module is named. source |
| Mobile technician app A native mobile app for technicians, with offline capability where stated. | Yes | QR and barcode scanning, condition logging and inventory updates, with work, asset and inventory actions available offline and auto-sync. GPS and geofencing verify technician location. source |
| Spare parts and inventory Storerooms, stock levels, reorder points and parts issued to work orders. | Yes | Reorder alerts at minimum stock levels, parts linked to work orders and consumption tracked per asset. source |
| Asset lifecycle and cost tracking Cost accumulated against an asset from acquisition through to retirement. | Yes | Lifecycle milestones, costs and conditions monitored to support repair, replace or renew decisions, with warranty data captured. source |
| Multi-site operation Multiple facilities, plants or sites in one instance with separable data. | Yes | One live dashboard across all sites with drill-down per property and PM changes rolled out across locations. The strongest portfolio story in this directory. source |
| Contractor management External contractors and vendor workflows, not just internal technicians. | Yes | Vendor credentials auto-tracked at onboarding, non-compliant vendors blocked from jobs, contractors rated against SLAs and invoices approved against work orders. source |
| IoT and BMS integration Sensor, condition or building-management-system data reaching the system. | Yes | Protocol-level: BACnet/IP, Modbus, OPC UA and Niagara, with a BMS fault automatically creating and assigning a work order, via the Facilio IoT Edge software. source |
| Maintenance KPI reporting MTBF, MTTR, downtime, schedule compliance and maintenance cost reporting. | Yes | Live dashboards for MTTR, MTBF and SLA, scheduled reports, export to Excel, CSV, PDF or BI tools, and a no-code report builder. source |
| Documented API A publicly documented API, which is what makes every other integration possible. | Yes | Public versioned REST APIs with an interactive Swagger UI and sample code, SDKs, and FOQL, a SQL-like query language. source |
| Asset register and hierarchy Parent-child asset structure with locations and equipment, not a flat list. | Not verified | |
| Procurement and purchase orders Purchase requisitions and purchase orders raised inside the system. | Not verified |

Licensing and pricing

| Licensing model | Commercial |
| Free version | Not verified |
| Trial available | Not verified |
| Published price | Contact vendor for pricing |
| Note | No price is published. All three tiers, Standard, Essential and Enterprise, show "request a custom quote", with the vendor stating that pricing is tailored to portfolio size, users and deployment scope. This is a deliberate quote-only model rather than a rendering problem, and no trial is mentioned either way. |

Strengths and limitations
Strengths
- Protocol-level building-systems integration, BACnet/IP, Modbus, OPC UA and Niagara, with a BMS fault automatically creating and assigning a work order. verified source
- Genuine portfolio-scale multi-site operation: cross-site KPI dashboards with per-property drill-down and PM template changes rolled out across thousands of assets and locations at once. verified source
- Reliability metrics are native rather than bolted on: MTTR, MTBF and SLA dashboards plus a no-code report builder and BI export. verified source
- The best-documented developer surface here: interactive Swagger UI with sample code, versioned public REST APIs, SDKs and the FOQL query language. verified source
Limitations
- No price and no trial published. All three tiers are quote-only with cost driven by portfolio size, so there is no self-serve evaluation path. verified source
- Purchase order functionality is not documented. The procure-to-pay story stops at invoice approval against work orders, with invoice checking listed as upcoming rather than available. This is the one conventional CMMS gap here. verified source
- A substantial part of the marketed AI suite is not yet shipping: Finance AI, Compliance AI and Reporting AI are all vendor-marked upcoming, with only Helpdesk AI live. verified source
Who it suits
Organisation sizes: Medium, Enterprise
The right answer for commercial real estate portfolios, FM service providers and multi-property operators, especially where building systems generate the faults and where contractor compliance and SLA performance are contractual obligations. Retail, healthcare, education and corporate facilities are also named.
Less suited to a single industrial plant, where plant-floor OT matters more than BACnet, or to anyone who needs purchase orders in the system: that is the one conventional CMMS function not documented here.

Frequently asked questions
It is the name of one product within Facilio's wider platform, not the company's whole offering, and the "connected" part is literal: BACnet/IP, Modbus, OPC UA and Niagara connectivity through an on-site IoT Edge component, so building system faults become work orders without a human retyping them. Siblings include Connected Buildings, Connected Refrigeration and the Atom agentic AI suite.
Not that we could find documented, and it is the one conventional CMMS function missing. Invoice approval against work orders exists, and invoice checking is listed as upcoming. If procurement has to live in the maintenance system, that is a real gap to test in a demo rather than assume.
No, and the distinction matters. Facilio is hosted on AWS, and the IoT Edge software is an on-site component for BMS and telemetry connectivity. That is edge connectivity, not on-premises hosting of the application. If you need the application itself on your own infrastructure, this is not it.

Alongside advisory work I also build a CMMS and CAFM platform, so I have a commercial interest in enterprise software generally. No vendor in this directory has paid for inclusion, placement or wording, and there are no reseller or affiliate arrangements. Weigh the analysis accordingly.
