Archibus vs Planon

Both products in this comparison are cross-listed here from the facility management category, and both are enterprise platforms rather than workplace booking apps. Space management is an application area of Archibus, which Eptura markets as one product, and Planon markets workplace and space management as modules of the single IWMS platform already profiled. Their full verified profiles, with sourced capability rows, integration evidence and pricing position, live in the facility management category. This category page exists to place them against the dedicated workplace products, not to restate facts verified elsewhere, so statements here are deliberately general and positional.

In this category scheme both are primarily space management: a real estate discipline covering floor plans, allocation, chargeback and portfolio planning, with a different buyer and a different budget from a booking tool. Neither is primarily a workplace booking product, where success is measured in how few taps it takes to get a desk. If the platform categories themselves need untangling, the CAFM versus CMMS versus EAM versus IWMS guide draws the boundaries, and the CAFM software buyer comparison is the better starting point for the platform decision itself.

The main differences

Why this is a platform decision

These two compete across whole estates, not across workplace features. An organisation choosing between them is usually deciding which platform owns its building, space, lease and maintenance data for the next five to ten years. Workplace and space capability is one chapter of that, and a chapter that is rarely decisive on its own. Both will involve a real implementation, both are quote purchases, and both expect a data model to be built rather than a floor plan to be uploaded.

One vendor-side observation that does belong here, because it affects the shortlist. Archibus sits under Eptura Specialized Solutions alongside Serraview, and both address complicated estates and portfolio planning. Eptura does not publish a crisp decision rule for choosing between them, so if Archibus is on your list, expect to work out in a sales conversation why it rather than Serraview, or vice versa. The wider Eptura portfolio overlaps further still: Eptura Workplace, Eptura Engage, Eptura Visitor, Archibus and Serraview all touch workplace and space. Scope the combination before signing. Planon presents a single platform with modules, which is a simpler story to scope even if the implementation is no lighter.

What neither of these is

Being blunt, because it is the point of this category. An enterprise space platform will not win over employees who simply want to book a desk near their team. The design goals are different: platforms optimise for data integrity, allocation accuracy and reporting that survives an audit, while booking apps optimise for the two taps between opening a phone and holding a reservation. Organisations that buy a platform and assume the booking experience comes free frequently end up adding a dedicated booking product later, with the platform as system of record for space and the booking tool as the employee-facing layer.

That pattern is common enough to plan for deliberately. If it is the likely end state, put the integration in the procurement from the start and decide which system owns space structure. Eptura architecture is instructive on how this is normally resolved even inside one vendor: its documentation describes Serraview as the source of truth for team and neighbourhood groupings that Eptura Engage consumes. Space owns the structure, booking consumes it.

Calendar integration and recurring bookings

Neither product had its Outlook or Teams behaviour verified in this category research pass, because both belong to the facility management category, so it could not be verified from published sources here. Check their facility management profiles, and then treat the demonstration as the real test. Two category-wide findings should shape what you ask for. First, only Microsoft Places has verified calendar-native booking anywhere in this category, so do not assume any platform module matches it and do not accept a general claim of Microsoft integration as an answer. Second, no vendor in this category, including Microsoft, documents recurring-meeting behaviour, so no product here carries a verified recurring-booking claim. Recurring meetings are where room booking most often breaks in practice, which makes that silence the most useful thing to know before a demonstration.

Pricing

Both are enterprise quote purchases and neither publishes a usable figure. For context, only five of the twelve products profiled in this category publish any pricing at all: Envoy, Skedda, deskbird, Joan and WorkInSync, all of them dedicated workplace products rather than platforms. If published pricing is part of your procurement process, that tells you something about which shelf to look at.

Which to choose

Decide the platform first and the workplace module second. These two are chosen on breadth, data model, implementation partner and the rest of the estate, and a workplace-feature bake-off between them will not settle it. Read both full profiles in the facility management category, where the verified detail lives.

If Archibus is the direction, resolve the Archibus against Serraview question explicitly with Eptura rather than letting the sales process pick for you, and map the overlap with Eptura Workplace, Engage and Visitor before you sign anything. If Planon is the direction, the module story is simpler to scope, and the work shifts to which modules you are actually licensing and in what order.

Either way, decide now whether employees will book through the platform or through something else. If something else, choose it in the same procurement and make the integration a requirement rather than a later project. A platform that owns space structure and a booking product that owns the employee experience is a legitimate architecture, and it is much cheaper to design than to retrofit.

Frequently asked questions

Neither primarily. Space management is an application area of Archibus, and Planon markets workplace and space management as modules of its IWMS platform. Both are primarily space management in this category scheme, a real estate discipline covering floor plans, allocation and chargeback, rather than booking tools optimised for getting a person a desk with minimum friction.

Eptura does not publish a decision rule. Both sit under Eptura Specialized Solutions and both address complicated estates and portfolio planning, so expect to establish the difference in a sales conversation. The wider Eptura portfolio overlaps further: Eptura Workplace, Eptura Engage, Eptura Visitor, Archibus and Serraview all touch workplace and space.

Could not be verified from published sources in this research pass, since both products belong to the facility management category and were not re-examined here. Across this category only Microsoft Places has verified calendar-native booking, and no vendor at all documents recurring-meeting behaviour, so treat recurring series as unverified everywhere and test them yourself.

No. Both are enterprise quote purchases. Only five of the twelve products profiled in this category publish figures at all, namely Envoy, Skedda, deskbird, Joan and WorkInSync, and all five are dedicated workplace products rather than platforms.

Sources and review basis

Attribute values come from each product's structured profile rather than being written into this page, so a correction made once appears everywhere. This comparison was last reviewed on 7 November 2026. Assessment of this category is documentation-based, not hands-on testing of every product.
