Workplace and Space Management Software

Workplace software grew quickly around hybrid working and then consolidated just as quickly. Two consequences shape this category.

First, the products split by what they are really for. Booking tools get a person a desk or a room with as little friction as possible, and live or die on calendar integration. Space management is a real estate discipline: floor plans, allocation, chargeback and portfolio planning, usually bought by a different team with a different budget. Visitor management is a front-of-house and security function. Workplace experience apps aggregate these plus services into an employee-facing front end. A booking tool will not do space planning, and a space planning module will not win over employees who just want a desk near their team.

Second, several well-known brands here have been merged into other products. Where a candidate turned out to be a retired brand or a module rather than a separately purchasable product, it is recorded as such rather than listed as a current option, and consolidations are named with their evidence. That makes this category shorter than the vendor landscape suggests, which is the honest outcome.

This is also a category where published per-user pricing is common, and where it exists it is recorded with the unit and billing period exactly as stated.

How to choose

How to choose in this category

Work out who the buyer really is. If the problem is employees cannot find a desk, you want a booking tool and adoption is the only metric that matters. If the problem is you do not know how much space you are paying for, you want space management and the buyer is real estate or finance. These are different products and conflating them produces a purchase that satisfies neither.

Calendar integration is the whole product for booking tools. If booking a room does not behave correctly in Outlook or Teams, including cancellations, recurring meetings and delegate bookings, employees will book rooms the old way and your occupancy data will be fiction. Test the awkward cases, not the happy path.

Be careful what you conclude from occupancy data. Booking data tells you what people reserved, not what they used, and the gap is routinely large. Sensors measure actual presence but bring cost, placement and privacy considerations. Occupancy sensing for building systems and the practicalities of occupancy sensors cover what the different methods can and cannot tell you. Making a real estate decision on booking data alone is a common and expensive mistake.

Check whether the floor plan is live or a picture. Space management value depends on plans that stay current, which depends on a CAD or BIM workflow somebody owns. A platform that imports a drawing once produces a snapshot that is wrong within a year.

Watch for overlap with what you already own. If you already run a CAFM or IWMS, space management may already be licensed, and several products in this category are modules of platforms listed under CAFM and IWMS. Buying a second space tool alongside an unused IWMS module is a genuinely common waste.

Confirm licensing dependencies. At least one product here depends on specific Microsoft licensing, which can change the real cost substantially depending on what you already have.

Frequently asked questions

Possibly not for space management, which many IWMS platforms already include and which you may already be licensed for. The common genuine gap is the employee-facing booking experience, which IWMS modules tend to do poorly. Check what you own before buying a second tool for the same job.

For room booking it is close to the whole product. If cancellations, recurring meetings and delegate bookings do not behave correctly in the calendar your organisation already lives in, people will bypass the system and the resulting utilisation data will be worthless. Test those specific cases rather than a simple booking.

Because this segment consolidated hard, and several well-known brands are now modules of other products or retired names rather than separately purchasable software. Where that is the case it is recorded with the evidence and the successor product named, rather than listing a brand that cannot actually be bought. That makes the category shorter and more accurate.

Only cautiously. Booking data records what people reserved, not what they used, and the gap between the two is routinely large because people book and do not show up. Sensors measure actual presence but add cost, placement work and privacy considerations. Making a lease decision on booking data alone is a common and expensive mistake.

Desk booking is an employee-facing transaction: get me a desk, with as little friction as possible. Space management is a real estate discipline: floor plans, allocation, chargeback and portfolio planning. They are usually bought by different teams with different budgets, and a product strong at one is often thin at the other. This directory labels which each product primarily is.
