Appspace Workspace vs Microsoft Places

These two sit at opposite ends of the category. Appspace Workspace is primarily a workplace experience offering: an employee-facing front end aggregating services, in this case built on digital signage and employee communications, with space and desk booking as a module riding on that platform. Microsoft Places is primarily a workplace booking product, and the only one in this category where booking is genuinely calendar-native rather than integrated.

The Appspace naming needs care. The vendor is Appspace Inc. The workplace and space booking offering is called Workspace on the product pages, described as space and desk booking, while the Appspace pricing page refers to the same thing as Space Reservation. Two vendor names for one capability area, so expect both when comparing Appspace documents.

The more important point about Appspace is that it is not primarily a workplace booking vendor at all. Its origin and centre of gravity is digital signage and employee communications, and the pricing structure makes that unmistakable: the Free, Express and Enterprise plans are metered on premium users, device IDs, storage and bandwidth. Storage and bandwidth metering is a content-distribution pricing model, not a desk booking one.

The main differences

Outlook and Teams: the sharpest contrast in the category

This is where the comparison is decided, and the gap is wide.

Microsoft Places is the only product in this category with verified calendar-native booking. Microsoft documents Places features as embedded directly in Teams and Outlook rather than living in a separate application, and states that desks can be booked through Outlook, Teams or the Places app, with the new desk booking experience available in New Outlook and the Teams calendar on Windows and the web, plus the Places app in Classic Outlook, Outlook mobile and Teams mobile. For adoption, that is a structural advantage no third-party integration can match.

Appspace has no Outlook or Teams evidence at all. No such statement was read on the vendor pages covered. In this category that is the gap that matters most, and it is the first thing to establish directly with Appspace. It is recorded as could not be verified from published sources rather than as an absence, and given that Appspace sells room and wayfinding signage, calendar connectivity probably exists in some form. Probably is not a source, though, and a signage-led platform may handle calendar booking quite differently from a booking-led one.

One thing neither can claim: recurring meetings. No vendor in this category documents recurring-meeting behaviour, Microsoft included, so no product here has a verified recurring-booking claim. Recurring series are where room booking most often breaks in practice, so even with Places the calendar-native advantage stops short of a recurring guarantee, and you should prove it with your own series.

Microsoft Places licensing, which is the major cost factor

This changed in 2026 and the detail decides the business case. Core features, including work plans and workplace presence, ship with a wide range of plans: Microsoft 365 and Office 365 Business Basic, Business Standard and Business Premium, E1, E3 and E5, the Education A-series, frontline F1 and F3, and several Teams plans. So Teams Premium is no longer the general requirement it was once understood to be, and a basic hybrid attendance capability may cost nothing incremental.

The exception is the one most buyers care about. Microsoft states that individual desk booking is a premium feature requiring desks to be backed by a space license, and adds that for a limited time users with a Teams Premium license can also book desks that are not backed by one. Booking rooms, and booking desk pools, which Exchange Online calls workspaces, carry no such requirement. That is a per-desk cost stacked on existing Microsoft 365 spend if employees must pick a specific named desk, and the Teams Premium route is explicitly described as time-limited, so it should not anchor a long-term case. Microsoft own pricing for the space licence could not be established, and a third-party figure that circulates was deliberately not recorded by this directory. Treat it as a separate licence of unpublished price and get the number from Microsoft or your reseller.

Administration is the other cost. Most Places features depend on a fully established hierarchy of buildings, floors, rooms, workspaces and desks, with desks following a strict Building, Floor, Section, Desk structure. Configuration runs through PowerShell cmdlets such as New-Place, Get-PlaceV3 and Set-PlaceV3 or the Places management portal, administrators need an Exchange Online licence and PowerShell 7.4.0 or later since Windows PowerShell is not supported, each desk gets a mailbox, and booking policies are applied with Set-CalendarProcessing. That is real Exchange administration work, not a wizard.

Appspace commercials

Appspace publishes no plan prices. The allowances are 2 premium users, 1 device ID, 5GB storage and 5GB bandwidth per month on Free; 25, 25, 25GB and 25GB on Express; and 50, 50 or more, 50GB or more and 50GB or more on Enterprise. The only figures on the page are overage rates of 0.10 per GB per month for extra storage and 0.15 per GB per month for extra bandwidth, printed with a bare dollar symbol and no ISO code, so the currency would be inferred and is not recorded. There is a genuine free tier, Appspace Free, unlimited in duration rather than a trial, which is rare here, though at 2 premium users and 1 device it is a demonstration allowance rather than a working deployment.

Not verified means the capability has not been checked for that product. It does not mean the product lacks it. Blank cells and unverified rows are never counted as a "no".

Which to choose

Choose Microsoft Places if you are standardised on Microsoft 365 with mature Exchange Online administration and want the lowest possible adoption friction. Model the desk question honestly first: if employees can live with desk pools, you avoid the space licence entirely, and if they must pick named desks you are paying per desk on top of your existing tenancy, at a price Microsoft does not publish. That single modelling exercise, against per-user products such as deskbird or per-space products such as Skedda, is the most valuable hour a buyer can spend in this category.

Choose Appspace only if your actual requirement is signage and employee communications first, with space booking alongside. If you are already deploying lobby screens, menu boards, wayfinding displays and an employee app, adding reservation to the same platform is sensible consolidation and the device-and-bandwidth model will already make sense. If desk and room booking is your whole problem, you would be buying a content distribution platform and licensing storage to get a booking module, and competitors priced per user or per bookable space will be simpler to budget and easier to compare.

Neither is a space management product. Places documents no block and stack planning, space chargeback, BOMA area reporting or move management, and for Appspace none of those were verified. Portfolio problems belong with a dedicated space product or an IWMS, whose profiles live in the facility management category.

Frequently asked questions

Not for core features any more. Microsoft documents core Places features, including work plans and workplace presence, as included with Microsoft 365 and Office 365 Business Basic, Standard and Premium, E1, E3, E5, the Education A-series and frontline F1 and F3, plus several Teams plans. Individual desk booking is a premium feature requiring desks to be backed by a space license, with Teams Premium as an explicitly limited-time alternative. Rooms and desk pools carry no such requirement.

Microsoft own pricing for it could not be established from published Microsoft sources. A third-party figure circulates and this directory deliberately did not record it. What is verified is that a separate licence is required for individual desk booking and that administrators additionally need an Exchange Online licence to run the Places PowerShell cmdlets. Get the number from Microsoft or your reseller.

Could not be verified from published sources. No Outlook or Teams statement was read on the Appspace pages covered in this research pass. In this category that is the gap that matters most, so establish it with Appspace before shortlisting. The signage heritage makes room displays and wayfinding plausible, but neither was verified either.

Appspace Free is a genuine free plan of unlimited duration, limited to 2 premium users, 1 device ID and 5GB each of storage and bandwidth per month, which is a demonstration allowance rather than a deployment. For Microsoft Places no free version exists as such and no trial was verified, but core features are already entitled in most Microsoft 365 plans, so many organisations can try those at no incremental cost.
