What it is

The naming needs care here. The vendor is Appspace Inc. The workplace and space booking offering is called Workspace, described on the site as "Space and desk booking", and the Appspace pricing page refers to the same thing as Space Reservation. So there are two vendor names for one capability area, and a buyer comparing notes across Appspace documents should expect both.

The more important point is that Appspace is not primarily a workplace booking vendor. Its origin and centre of gravity is digital signage and employee communications, and the pricing structure makes that unmistakable. The three plans, Free, Express and Enterprise, are metered on premium users, device IDs, storage and bandwidth: 2 premium users, 1 device ID, 5GB storage and 5GB bandwidth per month on Free; 25, 25, 25GB and 25GB on Express; and 50, 50 or more, 50GB or more and 50GB or more on Enterprise. Storage and bandwidth metering is a signage and content-distribution pricing model, not a desk booking one. Space reservation is a module riding on that platform.

Appspace publishes no plan prices. The only figures on the pricing page are add-on rates: 0.10 per GB per month for extra storage and 0.15 per GB per month for extra bandwidth. Those use a bare dollar symbol with no ISO code, so USD is inferred and unconfirmed, and in any case they are overage rates rather than a licence cost. Express and Enterprise are described as month-to-month or annual; Free is described as unlimited in duration. There is a genuine free plan, Appspace Free, which is a real free tier rather than a trial, and no separate trial is described.

Only the pricing page was read in depth, so the capability evidence is thin. Space and desk booking is confirmed as a product area from the pricing and product naming, but floor plans, occupancy analytics, visitor management, hybrid scheduling, sensors, utilisation reporting, wayfinding, Outlook and Teams integration depth, multi-site handling and API availability were not verified and are recorded as unknown. Given that Appspace sells room and wayfinding signage, several of those probably exist, but probably is not a source.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

Strengths and limitations

Strengths

  • Offers a genuine free tier, Appspace Free, with unlimited duration rather than a time-limited trial, which is rare in this category. verified source

Limitations

  • Pricing is metered on premium users, device IDs, storage and bandwidth, which is a digital signage and content distribution model rather than a booking model, and no plan prices are published at all. verified source
  • Space booking is a module on a signage and communications platform, not the core product. Buyers whose only need is desk and room booking will find the platform and its pricing model harder to justify than a booking-first competitor. editorial
  • Two vendor names for one capability area, Workspace on the product pages and Space Reservation on the pricing page, which makes comparing Appspace documents harder than it should be. editorial

Who it suits

Organisation sizes: Small, Medium, Enterprise

Appspace fits organisations whose actual requirement is digital signage and employee communications first, with space booking alongside. If you are already deploying lobby screens, canteen menu boards, wayfinding displays and an employee intranet app, adding space reservation to the same platform is a sensible consolidation and the device-and-bandwidth pricing model will already make sense to you.

It is the wrong starting point if desk and room booking is your whole problem. You would be buying a content distribution platform and licensing storage and bandwidth in order to get a booking module, and competitors that price per user or per bookable space will be simpler to budget and easier to compare. The absence of published plan prices compounds this: you cannot work out what Express or Enterprise costs from the site, only what overage costs.

The free tier is worth noting as a genuine evaluation route, since real free tiers are rare in this category, but at 2 premium users and 1 device it is a demonstration allowance rather than a workable small-office deployment.

Before shortlisting, establish the booking feature set explicitly. This directory verified the product naming and the pricing structure and little else, and a signage-led platform may handle calendar-native booking, recurring meetings and desk neighbourhoods quite differently from a booking-led one.

Typical use cases: organisations consolidating digital signage, internal communications and room booking on one platform; large room display estates already running Appspace; and campuses using Appspace wayfinding screens that want reservation on the same stack.

Alternatives

Robin Robin Powered, Inc. The answer when booking rather than signage is the real requirement. Desks, rooms, lockers and parking, floor plans, team-day hybrid policies, visitor management, wayfinding, forecasting analytics, and device monitoring with calendar health alerts for display fleets. Critically, Robin names Outlook and Teams explicitly, where Appspace has no published Outlook or Teams evidence at all. What does not carry over: no digital signage or employee communications platform, no free tier, no published pricing, annual billing only.
Envoy Workplace Envoy Keeps a workplace-experience shape, an employee-facing front end aggregating services, but with booking and visitor management as the centre rather than signage. Publishes per-module USD prices and has a genuine free Visitors Basic tier, and states that bookings can start from calendar invites. What does not carry over: no digital signage or content distribution platform, no storage and bandwidth model, and module prices exclude an undisclosed platform fee.
Eptura Engage Eptura A better fit if the attraction of Appspace was room and wayfinding screens. Engage ships Android room screen applications, interactive floorplans, wayfinding, hybrid schedules, visitor registration, multi-location office management and workplace analytics, and has a dedicated Microsoft Teams app with its own release notes. What does not carry over: no employee communications or content distribution platform, no free tier, and no published pricing of any kind.
Microsoft Places Microsoft Addresses the Appspace evidence gap that matters most. Places is the only product here with verified calendar-native booking, embedded in Teams and Outlook, with core features entitled in most Microsoft 365 plans so potentially no incremental licence cost. What does not carry over: no signage, no employee communications, no free tier, individual desk booking needs a per-desk space licence at unpublished cost, and setup is PowerShell-based Exchange administration.
Skedda Skedda The simplest and most transparent swap for pure booking: published per-space plans from 99 per month for 15 spaces in EMEA and APAC, a free 14-day trial, and listed integrations including Logitech Tap Scheduler for room displays, SSO, webhooks, Zapier and API documentation. What does not carry over: no signage platform, no communications, no visitor management, no analytics, and the Skedda caveat that only calendar sync is documented, not booking from inside Outlook or Teams.
