What it is

Envoy markets what its own page calls the "Envoy platform", with structured data on the page using "Envoy Workplace Platform". The distinguishing commercial feature is that Envoy is modular and openly priced per module, which is rare in this category and makes it one of the easiest products here to budget without a sales call.

The modules and their published list prices are: Visitors, with a free Basic plan with limited features, a Premium plan at USD 362 per location per month billed annually, and a custom-priced Enterprise plan; Response at USD 2 per user per month billed annually; Reservations at USD 5 per bookable resource per month billed annually; Screens at USD 12 per device per month billed annually; and Deliveries Enterprise at USD 250 per delivery location per month billed annually. All of these are explicitly stated in USD on the vendor pricing page rather than inferred. There is an important caveat printed on that page: the Response, Reservations, Screens and Deliveries prices each carry the note "Price excludes platform fee", and Envoy does not state the platform fee amount. So the published figures are real but incomplete, and any total cost of ownership model needs that fee from sales.

Capability-wise, desks, rooms and parking can be reserved via the mobile app, calendar invites or an interactive live map. Maps support image upload and points of interest at Premium tier. Visitor management is a genuine strength and arguably the origin of the company: pre-registration, screening and check-in for both visitors and contractors. Analytics are tiered, with basic analytics in Premium and advanced analytics in Enterprise, and scheduled reports excluded from basic Premium analytics. Multiple locations are in scope. Microsoft calendars and Microsoft Teams are described as core integrations, and the page states that bookings can start from calendar invites, which is a more concrete claim than most competitors make, although Outlook is not named by product.

Notably, Envoy does not use sensors for presence. Its Enterprise Presence capability derives occupancy signals from HRIS, MDM, WiFi, access control, SSO and geolocation data instead. That is a legitimate architectural choice and cheaper to deploy than a sensor estate, but it is a different accuracy profile and worth understanding. Wayfinding is not named as a feature, though the live map helps people locate colleagues and find spaces. No API is mentioned on the pages read.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

CapabilityStatusNotes
Multi-site support Managing many locations, time zones and policies. Yes source
Outlook and Teams integration Booking and cancelling correctly from Outlook or Teams. Yes Microsoft calendars and Microsoft Teams are core integrations, and bookings can start from calendar invites. Outlook is not named by product, and cancellation and recurring meeting behaviour is not described. source
Mobile app A mobile application for booking and workplace services. Yes For admins and employees, at Premium tier. source
Utilisation reporting Reporting on space utilisation for real estate decisions. Yes Visibility into space and resource utilisation. Scheduled reports are excluded from basic Premium analytics. source
Workplace experience app An employee-facing app aggregating workplace services. Yes Live map for locating colleagues, deliveries, employee mobile app. source
Visitor management Visitor registration, hosting and sign-in. Yes Pre-registration, screening and check-in for visitors and contractors. Sold as a separate module. source
Occupancy analytics Analysing how space is actually occupied over time. Yes Basic analytics in Premium, advanced analytics in Enterprise. Presence is derived from HRIS, MDM, WiFi, access control, SSO and geolocation data rather than sensors. source
Interactive floor plans Interactive plans for finding and selecting space. Yes Interactive live maps with image upload and points of interest at Premium tier. source
Meeting room booking Reserving meeting rooms, with calendar integration. Yes source
Desk booking Reserving desks, including hot desking and neighbourhoods. Yes Desks, rooms and parking bookable via mobile app, calendar invites or live map. source
Documented API A publicly documented API for integration. Not verified No API mentioned on the pages read.
Wayfinding Helping people navigate to a space, desk or colleague. Not verified Not named as a feature. The live map helps locate colleagues and spaces, which is not the same as turn-by-turn wayfinding.
Sensor integration Integrating occupancy or environmental sensors. Not verified Sensors are not mentioned. Envoy derives presence from HRIS, MDM, WiFi, access control, SSO and geolocation instead. Recorded as unknown rather than no because no source states sensors are unsupported.
Hybrid work scheduling Coordinating who is in the office on which days. Not verified Not a named feature. The FAQ says the platform supports hybrid work by managing onsite attendance and reserving desks and rooms, which is weaker than a scheduling capability claim.
Space allocation and planning Allocating space to teams and planning moves and chargeback. Not verified Not described on the product page.

Published priceUSD 5 per bookable resource per month, Reservations Standard, billed annually, excludes platform fee
NoteEnvoy publishes per-module list prices explicitly in USD. Reservations Standard is USD 5 per bookable resource per month billed annually, recorded above as the headline figure for this category. Other published modules: Visitors Basic free with limited features; Visitors Premium USD 362 per location per month billed annually; Visitors Enterprise custom; Response USD 2 per user per month billed annually; Screens USD 12 per device per month billed annually; Deliveries Enterprise USD 250 per delivery location per month billed annually. Important caveat printed on the vendor page: the Response, Reservations, Screens and Deliveries prices each state "Price excludes platform fee" and Envoy does not publish the platform fee amount, so these figures are incomplete as a total cost. Visitors Basic is a genuine free plan rather than a trial; its button reads Try for free but no trial length is stated. The other modules offer only Get a quote.

Strengths and limitations

Strengths

  • One of the few vendors in this category publishing real per-module list prices in a stated currency, plus a genuine free Visitors Basic plan rather than only a trial. verified source

Limitations

  • The published module prices each state that they exclude a platform fee, and Envoy does not publish that fee. The transparency is therefore partial and no total cost can be modelled from the site alone. verified source
  • Presence and occupancy are derived from HRIS, MDM, WiFi, access control, SSO and geolocation data rather than sensors, which is a different accuracy profile from sensor-based counting. verified source
  • Space allocation, moves and chargeback are not described at all, so this is a booking and visitor platform rather than a space planning tool. editorial

Who it suits

Organisation sizes: Small, Medium, Enterprise

Envoy fits organisations that want to start with visitor management and grow outward, and organisations that need to budget without a sales cycle. The free Visitors Basic plan is a real free tier, not a trial, which makes Envoy one of the only products in this category you can actually begin using without a contract. The modular pricing then lets you add Reservations at USD 5 per bookable resource per month only for the desks and rooms you want bookable, which suits an organisation with a small number of high-value bookable spaces far better than per-employee pricing would.

The per-location Visitors Premium price at USD 362 per location per month cuts the other way: an organisation with many small sites will find that model expensive quickly, whereas a single large office gets good value. Model your own site count carefully, and get the undisclosed platform fee in writing before comparing against competitors.

It is a weaker fit for space planning. Space allocation is not described at all on the product page, so moves, stack plans and chargeback are out of scope. Organisations wanting sensor-grade occupancy accuracy should also look elsewhere, since Envoy deliberately derives presence from HRIS, WiFi, access control and MDM signals rather than sensors.

Typical use cases: multi-tenant or security-conscious reception desks needing visitor and contractor screening, hybrid offices adding desk and room reservations to an existing Envoy visitor deployment, and organisations wanting published pricing they can model themselves.

Alternatives

Robin Robin Powered, Inc. Similar booking scope with broader resources, lockers and parking as well as desks and rooms, plus team-day hybrid policies, visitor management, wayfinding and device monitoring with calendar health alerts. Microsoft evidence is clearer: Robin names Outlook and Teams explicitly. What does not carry over is the commercial transparency. Robin publishes no pricing at all, bills annually only, and offers no free plan and no advertised trial, so you lose Envoy published per-module figures and the free Visitors Basic tier.
deskbird deskbird Also publishes real rates, and per active user rather than per bookable resource, from USD 3.75 and EUR 2.75 per active user per month annually in several named currencies. Better documented identity plumbing: SCIM, SAML 2.0, FIDO2, Entra ID, Okta, plus named HRIS integrations. What does not carry over: no visitor or contractor management, no published floor plans or analytics, no deliveries or room screens module, and a 25-user minimum on the Business plan.
Skedda Skedda The other published-pricing option, charging per bookable space rather than per bookable resource, with a free 14-day Premium trial and strong fit for operators billing external parties through Stripe, Xero or QuickBooks. What does not carry over is visitor management, deliveries, room screens, floor plans and analytics, none of which are described. Also note Skedda documents Outlook calendar sync for availability and nowhere states that bookings can be created from Outlook or Teams, where Envoy states bookings can start from calendar invites.
Kadence Kadence A platform answer rather than a module answer, covering booking, visitor management and kiosk, room displays, Move Manager, HRIS integration and a SpaceOps space planning line that Envoy has no equivalent of. Active-user billing suits uneven attendance. What does not carry over is budgetability: Kadence publishes no figures, offers no trial and no free plan, requires a one-year annual minimum, and charges separately for editable floor plans, VMS Documents and Insights Plus.
Appspace Workspace Appspace Inc. A reasonable alternative only if digital signage and employee communications are genuinely part of the requirement, since that is the Appspace centre of gravity and space reservation rides on it. It offers a real free tier of unlimited duration, though only 2 premium users and 1 device. What does not carry over: no plan prices are published at all, visitor and contractor screening is unverified, and there is no Outlook or Teams evidence, which in this category is the gap that matters most.

Frequently asked questions

Envoy publishes module list prices in USD. Reservations Standard is USD 5 per bookable resource per month billed annually, Response is USD 2 per user per month, Screens is USD 12 per device per month, Visitors Premium is USD 362 per location per month, and Deliveries Enterprise is USD 250 per delivery location per month. All are billed annually. Note that Envoy states these prices exclude a platform fee whose amount it does not publish.

Yes. Visitors Basic is described as a free plan with limited features. The other modules have no free option and their only call to action is to get a quote.

Sensors are not mentioned on the product page. Envoy Enterprise Presence derives signals from HRIS, MDM, WiFi, access control, SSO and geolocation data instead.
