Property Management Software
Property management software divides by what you manage, and the divisions are sharper than the marketing suggests. A product built for residential letting and a product built for commercial leases differ in their core data model, not just their feature lists, and neither is a substitute for the other.
Residential and multifamily products optimise for volume: many similar units, recurring rent, tenant screening, maintenance requests and payment collection. Commercial products optimise for complexity: fewer leases, each with bespoke terms, rent reviews, break clauses, service charge apportionment and recoveries. Short-term rental platforms are a third thing entirely, built around listing distribution, channel synchronisation and nightly pricing, and a long-term letting agency would not buy one.
This directory labels each product by which market it serves, and the short-term rental entries say explicitly that they are not substitutes for a residential or commercial system. Comparing them on lease accounting would be meaningless.
This is one of the categories where published pricing genuinely exists. Many vendors publish per-unit or monthly figures, often with a platform minimum, and the profiles record the unit and minimum as stated rather than reducing both to a single number.

How to choose
How to choose in this category
Classify your portfolio first. Residential, commercial, mixed or short-term. If genuinely mixed, be sceptical of products claiming both: in practice most are strong on one side and adequate on the other, and the weak side is usually the accounting.
Interrogate the accounting, not the portal. Tenant and owner portals demo well and are broadly comparable. Trust accounting, service charge apportionment, recoveries and owner statements are where products genuinely differ and where migration pain lives. If you manage property on behalf of owners, client money handling is a hard requirement rather than a feature.
Price on your actual unit count, including the minimum. Per-unit pricing with a monthly platform minimum behaves very differently for 40 units than for 400. Several vendors in this category publish both numbers, and the minimum dominates the cost for smaller portfolios. Where published, both are recorded here.
Check what "free" means. At least one product in this category markets itself as free to landlords while charging for specific services. A free version and a free trial are different things, and this directory records them as separate facts because conflating them is an error we have made before and corrected.
Treat maintenance as an integration question. Most of these products handle a maintenance request and a work order adequately for residential volumes. If you run planned maintenance on building plant, that is a maintenance system’s job, and the boundary between property, facility and maintenance systems is worth understanding before you try to make one product do both. For the maintenance side specifically, see work order software for maintenance teams.
Confirm the product is still sold. This category has consolidated heavily and at least one well-known product may no longer be available to new customers. Where we established that, the profile says so and does not present it as a current option.
Frequently asked questions
Not usually. Free plans in this category are often funded by charging tenants payment or application fees, or by charging for specific services such as screening. A free version is also not the same thing as a free trial, and this directory records those as two separate facts.
Commonly a monthly platform minimum plus a rate per unit, which means the effective cost per unit falls sharply as the portfolio grows. For small portfolios the minimum is the real price. Where vendors publish both numbers this directory records both rather than flattening them into one figure.
Client or trust money handling if you manage on behalf of owners, service charge apportionment and recovery if you manage commercial space, owner statement production, and how the system handles part payments and arrears. Portals look similar across products; accounting does not.
They are a different category of product that happens to share a name. Short-term rental platforms are built around listing distribution, channel synchronisation, nightly pricing and guest messaging. They do not do lease management or service charge accounting, and a long-term letting business would not buy one. They appear here labelled as short-term rental so the difference is visible.
Some claim to, and a few genuinely do, but the data models pull in different directions. Residential optimises for many similar units with recurring rent. Commercial optimises for fewer leases with bespoke terms, rent reviews and service charge recoveries. Mixed products are usually stronger on one side, and the weaker side is normally the accounting. Test your hardest lease, not your simplest.
