What it is

Ultimo is the mid-market half of IFS's asset management portfolio. IFS acquired Ultimo Software Solutions, a Dutch cloud EAM vendor with around 2,000 customers, in 2022, and continues to sell it under the IFS Ultimo brand alongside IFS Cloud EAM. It is positioned for faster deployment and smaller organisations than the Tier 1 product.

The product's distinguishing feature is adjacency. Alongside maintenance it ships Fleet, HSE, Infrastructure Assets, Medical and Operations modules, so organisations that would otherwise buy a CMMS plus a safety system plus a fleet system can consolidate. The published edition structure, with stated user and storage entry points, is also more transparent than most of this category manages.

What it does not do is explain itself publicly. The vendor's pages are unusually thin on feature detail: no API documentation, no module specification, and core functions including asset hierarchy, purchasing, contractor management and IoT connectors are not described anywhere we could find. Buyers cannot self-qualify without a sales call, which is a real friction rather than a presentational quibble.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

CapabilityStatusNotes
Work order management Creation, assignment, approval and closure of work orders. Yes Plan recurring tasks, schedule work and manage work orders; technicians access work orders, asset history and instructions. source
Preventive maintenance scheduling Calendar, meter and usage-based schedule generation. Yes source
Mobile technician app A native mobile app for technicians, with offline capability where stated. Yes Technicians access work orders and asset history from any device. The vendor names no dedicated app and no offline mode, so offline is unverified. source
Spare parts and inventory Storerooms, stock levels, reorder points and parts issued to work orders. Yes Spare parts are connected to preventive maintenance and planning. No separate inventory module is described. source
Asset lifecycle and cost tracking Cost accumulated against an asset from acquisition through to retirement. Yes The vendor describes total cost of ownership visibility across the asset base and cost breakdowns, framed as an outcome rather than a named module. source
Multi-site operation Multiple facilities, plants or sites in one instance with separable data. Yes The vendor states it covers one site or multiple locations. source
Maintenance KPI reporting MTBF, MTTR, downtime, schedule compliance and maintenance cost reporting. Yes Dashboards and monitoring for asset availability, plus regulatory reporting. source
Asset register and hierarchy Parent-child asset structure with locations and equipment, not a flat list. Not verified
Predictive or condition-based maintenance Condition monitoring or failure prediction functions in the product itself. Not verified
Procurement and purchase orders Purchase requisitions and purchase orders raised inside the system. Not verified
Contractor management External contractors and vendor workflows, not just internal technicians. Not verified
IoT and BMS integration Sensor, condition or building-management-system data reaching the system. Not verified
Documented API A publicly documented API, which is what makes every other integration possible. Not verified

NoteNo figure is published. All three editions show "price on request", but the vendor does publish the entry points, which is more than most here: Professional from 5 users and 50GB, Premium from 10 users and 100GB, Enterprise from 50 users and 300GB. No free trial is mentioned anywhere; evaluation is by demo.

Strengths and limitations

Strengths

  • Certified SAP S/4HANA integration. verified source
  • A published edition structure with stated user and storage entry points, from 5, 10 and 50 users, which is rarer in this category than it should be. verified source
  • Adjacency beyond maintenance in one platform: CMMS, Fleet, HSE, Infrastructure Assets, Medical and Operations. verified source
  • A production-grade cloud footprint: the vendor states 120,000 active monthly cloud users and 80% of customers on cloud. verified source

Limitations

  • The vendor publishes very little feature-level detail: no API documentation, no module specification, and several core functions including asset hierarchy, purchasing, contractor management and IoT connectors are not described on any public page. Buyers cannot self-qualify without a sales call. verified source
  • No published price and no evident free trial. Every edition is "price on request" and evaluation routes through a demo. verified source
  • The vendor states the future of the product is in the cloud, so on-premises customers should expect a migration path; and Ultimo sits alongside IFS's own IFS Cloud EAM, an overlap that carries long-term roadmap-positioning risk. verified source

Who it suits

Organisation sizes: Medium, Enterprise

Well suited to mid-market asset-intensive operations, particularly in chemicals, food and beverage, manufacturing, healthcare, logistics and utilities, and especially where safety or fleet management would otherwise be a second system. The entry points, from five users, make it reachable for organisations too small for Maximo or IFS Cloud EAM.

Less suitable where you need to verify capability before engaging, or where on-premises is required: the vendor says the future of the product is in the cloud without stating whether on-premises remains available to new customers.

Alternatives

IFS Cloud EAM IFS IFS's own Tier 1 product, and the natural step up when Ultimo stops being enough. Establish which one a quote covers, because they are separate products.
eMaint CMMS Fluke Reliability A CMMS-tier competitor that publishes far more capability detail, with contractor management, purchasing and condition monitoring documented.
Limble CMMS Limble Better documented, with unlimited volume and a published OpenAPI specification, if maintenance alone is the scope and the extra modules are not needed.
IBM Maximo Application Suite IBM The enterprise alternative where regulated reliability or asset-level financial accountability has outgrown the mid-market tier.
Accruent Maintenance Connection Accruent Publishes a starting price and offers on-premises, both of which Ultimo does not.

Compared with other products

Frequently asked questions

No. They are separate products with separate codebases, both owned by IFS. Ultimo is the mid-market line, acquired in 2022 and faster to deploy; IFS Cloud EAM is the Tier 1 enterprise platform. If an IFS quote arrives, establish which product it covers first, because they are not interchangeable and the cost profiles differ substantially.

Because the vendor does not publish them. Ultimo's public pages describe outcomes more than features, and there is no API documentation or module specification to read. We record what we could source and leave the rest unverified. For an evaluation, ask specifically about asset hierarchy, purchasing, contractor workflows and IoT connectors, which are the four we could not establish.

The vendor publishes no figure, only "price on request" for all three editions. It does publish entry points, from 5 users on Professional, 10 on Premium and 50 on Enterprise, which at least tells you the shape of the tiers. What drives the total in practice is in what maintenance software really costs.
