Workplace and Space Management Software · Desk and room booking

Joan

by Visionect d.o.o.

Joan is room and desk booking software from Visionect, sold in tiered plans that bundle users and devices. It runs on Joan e-paper displays but also on ordinary tablets and LCD screens, so the software is not tied to the vendor hardware.

What it is

Two things needed verifying about Joan and both came back clearly. The vendor is Visionect d.o.o., named in the copyright notice on the Joan site, which is the Slovenian e-paper display company behind the product. And the software is not locked to Visionect hardware: the Joan pricing FAQ states that Joan "works on our proprietary ePaper devices as well as any other display", including tablets and LCD televisions. So you can buy Joan as software and run it on screens you already own.

That said, the commercial model is still hardware-shaped, and this is the most important thing for a buyer to understand. Every plan bundles both a user allowance and a device allowance, and extra devices are charged separately from extra users. Joan publishes four plans, with figures shown during this pass in AED because the pricing page is geolocated. Plans start at 221.18 AED per month and are described as including all Joan solutions. Team includes 20 users, up to 50, and 2 devices, up to 5. Business includes 50 users, up to 150, and 5 devices, up to 12. Organization includes 100 users, up to 400, and 10 devices, up to 35. Enterprise+ includes 200 users and 20 devices. Extra users are 4.42 AED per user per month and extra devices are 44 AED per device per month, which is a roughly tenfold difference. The FAQ states these rates apply to annually billed plans with monthly-billed prices "in brackets", but the bracketed monthly figures did not render in the page text retrieved, so the monthly-billed rates are unverified.

Joan also sells ePaper badges at 73.40 AED per badge per year on top of a plan, with licences starting 15 November 2026 and no minimum order. There is a 30-day free trial with no commitment, badge licences include a one-month trial, and device purchases carry a 30-day money-back guarantee.

The pricing page is the only vendor page read in depth during this pass, so the capability set is thinly evidenced here. Room and desk booking are evident from the plan descriptions and the product category, but floor plans, occupancy analytics, visitor management, sensors, utilisation reporting, wayfinding, multi-site handling, API availability and the depth of any Outlook or Teams integration were not verified from the vendor site and are recorded as unknown. This profile should be treated as commercially well evidenced and functionally under-evidenced.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

NoteJoan publishes tiered plan pricing. Figures were served in AED during this pass because the pricing page is geolocated, and AED is stated on the page rather than inferred; a visitor in another region will likely see a different currency, so confirm your own. Plans start at 221.18 AED per month and include all Joan solutions. Team: 20 users, up to 50, and 2 devices, up to 5. Business: 50 users, up to 150, and 5 devices, up to 12. Organization: 100 users, up to 400, and 10 devices, up to 35. Enterprise+: 200 users and 20 devices. Extra users 4.42 AED per user per month; extra devices 44 AED per device per month, roughly ten times the per-user rate, so device count drives cost. ePaper badges are 73.40 AED per badge per year on top of a plan, with licences starting 15 November 2026 and no minimum order. The FAQ states these rates are for annually billed plans with monthly-billed prices in brackets, but the bracketed monthly figures did not render in the page text retrieved, so monthly rates are unverified. Strengths and limitations

Strengths

  • The software is not tied to Visionect hardware. The vendor FAQ states Joan works on its proprietary ePaper devices as well as any other display, including tablets and LCD televisions, so existing screens can be reused. verified source
  • Publishes full tiered pricing with user and device allowances, plus a 30-day free trial with no commitment, so the product can be evaluated without a sales cycle. verified source

Limitations

  • Extra devices cost roughly ten times extra users, at 44 AED per device per month against 4.42 AED per user per month, so plan selection is driven by screen count rather than headcount. verified source
  • Thinly evidenced functionally. Only the pricing page was read in depth, so floor plans, analytics, visitor management, Outlook and Teams behaviour and API availability are all unverified. Treat the commercial facts here as solid and the feature set as open. editorial

Who it suits

Organisation sizes: Small, Medium

Joan fits small and mid-sized offices whose primary need is meeting room booking with physical screens outside the rooms. The e-paper heritage is genuinely useful here: e-paper panels need no mains wiring and run for long periods on battery, which makes retrofitting room displays into an office with no cabling at meeting room doors far cheaper than it would be otherwise. If you have twelve meeting rooms and no power outside any of them, that is the problem Joan solves better than anyone in this set.

Watch the device economics. Extra devices cost around ten times what extra users cost, so the plan you need is determined by your screen count, not your headcount. An organisation with 40 rooms is pushed toward Organization or Enterprise+ regardless of how few employees it has. Model devices first.

Joan is not an enterprise space management product. Nothing in the published material suggests space allocation, chargeback, portfolio reporting or sensor-driven occupancy counting, and the plan ceilings top out at a few hundred users. Large estates should look at Eptura, Planon or Spacewell instead.

Finally, confirm the currency and the monthly rates yourself. The pricing page is geolocated and served AED during this research pass; your own figures may appear in a different currency, and the monthly-billed rates referenced in the FAQ did not render.

Typical use cases: retrofitting room booking displays into offices without cabling, small to mid-sized meeting room booking with a 30-day trial, and desk booking alongside room booking in a single office.

Alternatives

Skedda Skedda The closest alternative on commercial transparency and on fit for a small bookable estate, but priced per bookable space rather than per device, from 99 per month for 15 spaces in EMEA and APAC. Far better evidenced on integrations: SSO via Entra ID, Okta, OneLogin and JumpCloud, webhooks, Zapier and API documentation. The caveat to carry over is that Skedda documents Outlook calendar sync for availability and nowhere states bookings can be created or cancelled from Outlook or Teams.
Eptura Engage Eptura The upgrade path if the room display estate grows past what Joan plan ceilings comfortably cover, which top out at a few hundred users. Engage ships Android room screen applications, interactive floorplans, hybrid schedules, wayfinding, visitor registration, multi-location office management and workplace analytics, none of which is verified for Joan. What does not carry over: no published pricing at all, no e-paper and no battery-powered display option, and a heavier enterprise sales process.
Robin Robin Powered, Inc. Built for exactly the problem Joan plans scale toward: large room estates with many displays, including device monitoring with calendar health alerts, plus lockers, parking, team-day hybrid policies, visitor management and wayfinding. Robin also names Outlook and Teams explicitly, which Joan published material does not address at all. What does not carry over: Robin publishes no pricing, bills annually only, offers no free plan or advertised trial, and has no e-paper hardware story.
Microsoft Places Microsoft Worth considering because the biggest open question about Joan is calendar integration, and Places is the only product here with verified calendar-native booking embedded in Teams and Outlook. Core features ship with most Microsoft 365 plans. What does not carry over: Places has no e-paper or low-power display answer, individual desk booking needs a space licence per desk at unpublished cost, and setup requires Exchange Online and PowerShell 7.4 or later rather than a 30-day self-serve trial.
deskbird deskbird A better fit once headcount rather than screen count drives your cost, since Joan charges extra devices at roughly ten times extra users. deskbird publishes USD 3.75 and EUR 2.75 per active user per month annually, names a Microsoft Outlook add-in and native Teams use, and documents SCIM and SAML 2.0 SSO. What does not carry over: no bundled device allowance or room display hardware story, room signage comes via partners, and the Business plan has a 25-user minimum.
