What it is

Q Ware is the most price-transparent product in this directory: three tiers with published per-user figures, two priced add-ons, and no user limit on any tier. In a category where most vendors hide behind a demo request, that alone makes it easy to evaluate, and the no-user-limit point means cost scales by how many seats you choose rather than being forced up by a cap.

The two services it sells alongside the software are more interesting than the feature list. Asset Data Collection and PM Program Build are done-for-you onboarding, and they address the thing that actually sinks CMMS implementations: nobody has a clean asset register or a sensible PM programme, and nobody has time to build one. For a small facilities team that is worth more than most features.

The honest limits are scope. Purchasing is PO upload rather than a procurement workflow, there is no API mentioned anywhere on the homepage, features page or pricing page, and asset hierarchy, IoT and predictive maintenance are not described. This is a competent work-order-and-PM system for a facilities team, not an asset management platform.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

CapabilityStatusNotes
Work order management Creation, assignment, approval and closure of work orders. Yes Corrective and requested work orders in one workspace, with customisable forms, workflows, statuses and notifications. source
Preventive maintenance scheduling Calendar, meter and usage-based schedule generation. Yes Work scheduling creates recurring PM tasks tied to assets or locations and auto-generates work orders. A PM programme build service is also offered. source
Mobile technician app A native mobile app for technicians, with offline capability where stated. Yes A responsive web app with full access on any device. Offline work order management is sold as an Unlimited-tier feature while the features page states an internet connection is required, so offline is disputed. source
Spare parts and inventory Storerooms, stock levels, reorder points and parts issued to work orders. Yes Consumable items and costs, inventory assigned to work orders as used, and reorder-point reminders. source
Procurement and purchase orders Purchase requisitions and purchase orders raised inside the system. Yes Purchase orders can be uploaded to track order histories, with invoices stored. This is PO record-keeping rather than a requisition, approval and receiving workflow. source
Contractor management External contractors and vendor workflows, not just internal technicians. Yes Vendor management with unlimited vendors, contacts, invoices and vendors assigned to assets and inventory. Contractor portals, SLAs and permits are not described. source
Maintenance KPI reporting MTBF, MTTR, downtime, schedule compliance and maintenance cost reporting. Yes Custom reporting for team metrics and KPIs, exportable to Excel or PDF. source
Asset register and hierarchy Parent-child asset structure with locations and equipment, not a flat list. Not verified
Predictive or condition-based maintenance Condition monitoring or failure prediction functions in the product itself. Not verified
Asset lifecycle and cost tracking Cost accumulated against an asset from acquisition through to retirement. Not verified
Multi-site operation Multiple facilities, plants or sites in one instance with separable data. Not verified
IoT and BMS integration Sensor, condition or building-management-system data reaching the system. Not verified
Documented API A publicly documented API, which is what makes every other integration possible. Not verified

Published priceUSD 22 per user per month (Team plan; Premium is USD 38 and Unlimited USD 55, no user limit on any tier)
NoteQ Ware publishes the most transparent price list in the directory: USD 22 per user per month for Team, 38 for Premium and 55 for Unlimited, with no user limit on any tier, plus Event Booking and GIS add-ons at 10 each, read on 7 November 2026. The page prints "$" without an ISO code, so USD is inferred from a US vendor. One tier-specific detail worth noting: offline work order management is limited to the Unlimited tier, while the features page says an internet connection is required, so the vendor contradicts itself on offline.

Strengths and limitations

Strengths

  • Fully transparent public per-user pricing across three tiers plus priced add-ons: the most price-transparent vendor in this directory. verified source
  • No user limit on any tier, so cost scales by the seats you choose rather than being pushed up by a cap. verified source
  • Done-for-you onboarding services, Asset Data Collection and PM Program Build, which address the thing that actually sinks CMMS implementations. verified source
  • A 30-day free trial and single sign-on via Google or Microsoft Azure included in the product. verified source

Limitations

  • No API is mentioned anywhere on the vendor's homepage, features page or pricing page. Integration is offered as a bespoke "custom interfaces" service instead. We are reporting the absence of any documentation across three pages, not asserting that no API exists. verified source
  • Offline support is contradicted across the vendor's own pages: the features page says an internet connection is required while the pricing page sells offline work order management as an Unlimited-tier feature. verified source
  • Purchasing is purchase order record-upload inside vendor management, not a procurement workflow. No requisitions, approval chains or receiving are described. verified source

Who it suits

Organisation sizes: Small, Medium

Well matched to small and mid-sized facilities teams in schools, healthcare, government, public works, airports, recreation and places of worship, particularly where a transparent per-user price and hands-on onboarding matter more than breadth.

Not the right choice where you need an API, a procurement workflow, condition monitoring or an asset hierarchy. And confirm offline before committing if your technicians work without signal, because the vendor's pages disagree about it.

Alternatives

FMX FMX The step up for the same sectors: named BAS connectors, a real purchase order workflow, capital planning and a documented API.
Asset Essentials Siemens Deeper reporting with over 100 predefined reports and GIS mapping for distributed public-sector assets.
MaintainX MaintainX A free tier and comparable transparency, with a stronger mobile app story.
MPACT CMMS MPulse Software Concurrent-user licensing and condition-based PM triggers at a similar price point.
Limble CMMS Limble The answer if an API becomes necessary: Q Ware mentions none on any page, Limble publishes a full specification.

Frequently asked questions

The vendor contradicts itself, so treat this as unresolved. The features page says the responsive web app requires an internet connection; the pricing page sells offline work order management as an Unlimited-tier feature. If offline matters, get it confirmed in writing and establish which tier you need.

None is mentioned on the homepage, features page or pricing page, and the vendor offers "custom interfaces" as a service instead. We checked three pages and found nothing, so we record this as unverified rather than absent, but if integration is part of your plan this is the product where you should ask first.

Paid onboarding where Q Ware builds your asset register and preventive maintenance programme rather than leaving you to do it. That is genuinely useful, because a bad asset register and a copied-from-the-manual PM programme are the two most common reasons a CMMS implementation produces nothing. Our own guidance on that is in why preventive maintenance programmes fail.
