What it is

Dynamics 365 Field Service is Microsoft first-party field service application, sitting in the enterprise half of this category rather than the trades half. It is not a product a two-truck contractor buys: entry list pricing is 105.00 per user per month paid yearly, and the application runs on Dataverse and Power Platform, so a buyer is taking on a platform as well as an app. The natural buyer already runs Dynamics 365 elsewhere.

Microsoft documents four distinct service delivery models out of the box, which is unusual breadth: reactive break-fix, preventive work generated from agreements, predictive work driven by IoT signals through Connected Field Service, and project-based work via Project Operations. Work orders can originate from cases, sales orders, email, agreements, web portals or IoT devices. The schedule board supports manual drag-and-drop dispatch, a scheduling assistant, or fully automated assignment through Resource Scheduling Optimization, which Microsoft documents as a separate add-on rather than an included feature. Routing is bundled into that scheduling optimisation rather than sold as a standalone engine, with resources and jobs shown on a map alongside live traffic.

The strongest differentiator is the Business Central integration. Microsoft publishes the actual table mappings, which is rare: project lines to work order products and services, Business Central service orders to Field Service work orders, service items to customer assets, and Business Central locations to Field Service warehouses. Invoicing happens on the Business Central side. The catch is licensing: the deeper Project and Service integration mode requires Business Central Premium, because service management features are not available on Essentials.

  • Offline is the honest weak point. Microsoft contradicts itself. The live mobile overview frames offline as something an administrator configures, and states plainly that the refreshed mobile experience does not currently support working offline. Other Microsoft-owned surfaces, including the docs source mirror and a Learn training module, describe offline as on by default. Microsoft also maintains a dedicated offline profile best practices and limitations page plus troubleshooting pages for missing offline data, which tells you offline needs deliberate engineering rather than a switch.
  • Mobile is included in the Field Service licence at no extra charge on iOS, Android and Windows 10 and later.
  • Quoting, SLA management and a documented Field Service API were not verifiable on any Microsoft page opened during research. They are recorded as unknown, not absent.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

CapabilityStatusNotes
Workforce and crew management Timesheets, crews, certifications and workforce administration. Yes Partial. Time tracking and bookable resource management, not shift rostering. source
GPS and vehicle tracking Vehicle or technician location tracking. Yes Technician location tracking plus geofencing on work locations. source
Invoicing and payments Invoicing from completed work and taking payment. Yes Closing a work order generates an invoice for parts and labour used. source
Parts and inventory Parts consumption, van stock and inventory tracking. Yes Truck stock, purchase orders and returns; inventory decrements on part install. source
Work order management Work order lifecycle from request to completion. Yes Work orders originate from cases, sales orders, email, agreements, web portals or IoT. source
Service contracts and agreements Recurring service agreements, entitlements and renewals. Yes Agreements auto-generate recurring preventive maintenance work orders. source
Customer portal A portal for customers to log and track jobs. Yes Portal built on Power Apps lets customers view appointments in real time. source
Technician mobile app A dedicated mobile application for field technicians. Yes iOS, Android and Windows 10 and later; included in the licence at no extra charge. source
Route optimisation Optimising travel between jobs across a working day. Yes Bundled into scheduling optimisation; map shows routes and live traffic. source
Scheduling and optimisation Scheduling work against availability, skills and capacity. Yes Resource Scheduling Optimization is documented as an add-on, not included. source
Dispatch and assignment Assigning jobs to technicians and managing the dispatch board. Yes Interactive schedule board with drag-and-drop, scheduling assistant, or automated assignment. source
Documented API A publicly documented API for integration. Not verified No Field Service developer or API page loaded; the constructed developer-guide URL 404ed. The Dataverse Web API is implied by the architecture but was not verified.
SLA management Measuring response and resolution against service levels. Not verified Not stated on any Field Service page opened. Possibly inherited from Customer Service, unverified.
Quoting and estimating Producing quotes and estimates for customer work. Not verified No Microsoft page opened documents quoting inside Field Service.
Offline working Creating and completing work with no connectivity, and syncing on reconnection. Not verified CONTRADICTION. Microsoft documents admin-configured offline capabilities, but the same live mobile overview states the refreshed mobile experience does not currently support working offline, while the docs source mirror and a Learn training module describe offline as on by default. Recorded unknown rather than picking a side.

NoteCURRENCY IS INFERRED. The page prints a bare dollar sign with no ISO code; USD is inferred from the en-US locale page, not stated by Microsoft. A second SKU, Dynamics 365 Field Service Contractor, is published at 50.00 per user per month paid yearly. Resource Scheduling Optimization is documented as an add-on, so full automated scheduling may cost more than the 105.00 figure.

Strengths and limitations

Strengths

  • Native first-party ERP path to Business Central with published bi-directional table mappings and Business Central side invoicing, unusual depth for an FSM product. verified source
  • Four distinct service delivery models documented out of the box: reactive, preventive from agreements, predictive from IoT, and project-based. verified source
  • Mobile app included in the Field Service licence at no extra charge on iOS, Android and Windows 10 and later. verified source

Limitations

  • Microsoft own documentation states the refreshed mobile experience does not currently support working offline, while other Microsoft surfaces claim offline is on by default. Offline scope must be verified per release. verified source
  • The deeper Business Central Project and Service integration mode requires Business Central Premium; service management is unavailable on Essentials. verified source
  • Entry price plus the Power Platform and Dataverse dependency make this a poor fit for a small contracting business, regardless of feature fit. editorial

Who it suits

Organisation sizes: Enterprise

Good fit: organisations already standardised on Microsoft, particularly those running Business Central as the ERP and wanting completed work orders to flow into it for invoicing without custom middleware. Also a good fit where service work spans several delivery models at once, for example a manufacturer running contract-based preventive maintenance alongside reactive calls and IoT-triggered work. Teams that already have Power Platform skills in house will get far more out of it than teams that do not, because the mobile app is a model-driven Power Apps app and customisation happens at that layer.

Poor fit: small contractors. At 105.00 per user per month on an annual commitment, plus a Dataverse dependency and a likely Resource Scheduling Optimization add-on for real automated scheduling, the landed cost is far above the trades products in this category. It is also a poor fit for crews that genuinely work with no signal for hours at a time, at least until Microsoft resolves the inconsistency between its offline documentation and its statement that the newer mobile experience does not support offline. Verify offline behaviour against your specific target release before committing.

Typical use cases: equipment manufacturers servicing an installed base, utilities dispatching outage and maintenance work, medical device field engineering, facilities and HVAC maintenance organisations, and in-home care scheduling. Microsoft names these industries in its own documentation.

Alternatives

Field Service and Operations Salesforce The closest like-for-like swap. Both are enterprise FSM on a major CRM platform with published list pricing, so you can compare costs before a sales call. Choose on which platform you already own: Dataverse and Power Platform versus the Salesforce platform. Salesforce labels six currencies explicitly where Microsoft prints a bare dollar sign.
Oracle Fusion Field Service Oracle For organisations standardising on Oracle Fusion Cloud Applications instead of Microsoft. Comparable enterprise tier and comparable bi-directional ERP integration story, but no published price and offline is gated behind the Professional, Enterprise or Mobility subscription tiers.
SAP Field Service Management SAP The equivalent choice inside an SAP landscape, with S/4HANA as the backbone and Service Cloud in the front office. Adds native crowd service dispatch to certified partners and subcontractors, which Microsoft does not document, plus a Windows app alongside iOS and Android. Quote-only.
ServiceNow Field Service Management ServiceNow Better suited where field work should sit on the same platform as the service desk, and where contractual SLA compliance must drive assignment rather than appear in a report. It is also the one to prefer if you need a written offline specification before signing, since Microsoft contradicts itself on offline and ServiceNow documents its limits.
IFS Cloud Field Service Management IFS Choose this instead when assets, not customers, are the organising principle: IFS field service shares one data model with its enterprise asset management rather than integrating to it. Be aware the published record is thin because ifs.com returns 429, so evaluation will be sales-led.

Frequently asked questions

Microsoft publishes 105.00 per user per month paid yearly for Field Service, and 50.00 per user per month paid yearly for the Field Service Contractor licence. The page prints only a dollar sign with no ISO code, so USD is inferred from the US locale rather than stated. Resource Scheduling Optimization is documented as an add-on, so automated scheduling may add cost.

Unclear from Microsoft own sources, which is why this profile records offline as unknown. Offline is documented as something an administrator configures through an offline profile, but the same mobile overview states the refreshed mobile experience does not currently support working offline, and other Microsoft pages describe offline as on by default. Verify against your target release before committing.

Yes, to Dynamics 365 Business Central, first-party and bi-directional. Completed work orders flow to Business Central where invoices are created and posted. The deeper integration mode requires Business Central Premium.
