Hostaway

by Hostaway

Vacation rental and short term rental management platform combining OTA channel management, a unified guest inbox, dynamic pricing, direct booking websites, owner statements and an open REST API. It is a hospitality operations tool, not a residential or commercial property management system.

What it is

Read this first: Hostaway belongs to a different product class from the rest of this category. It is vacation rental software, built for short term rental operators who sell nights through online travel agencies and direct booking sites. It is not a substitute for a residential or commercial property management system, and a long term letting agency would not buy it. What it solves is listing distribution and calendar synchronisation across channels, guest communication at volume, nightly rate setting, turnover coordination and owner payout reporting for short stay inventory. What it does not address is the substance of long term property management: tenancy creation and renewal, periodic rent demands and arrears escalation, statutory deposit protection and safety compliance, client money or trust accounting under local regulation, and lease documentation and lease events. We make no claim about lease accounting capability in either direction, because the vendor does not sell the product for that purpose and we found no statement from it on the subject. If you are managing tenancies rather than stays, the honest answer is that you need a long term platform and should not shortlist this one.

Inside its own category Hostaway is a mature, broadly featured platform. The channel manager holds direct API connections to Airbnb, Vrbo, Booking.com, Expedia and Google, plus Marriott Homes and Villas, with a multi calendar view intended to prevent double bookings. Around that the vendor packages a unified inbox pulling messages from multiple channels with WhatsApp, SMS and email support, dynamic pricing with cross channel distribution, a direct booking website builder with SEO and custom branding, owner statements with templates, an owner portal and automated delivery, analytics and reporting covering occupancy and financials, a mobile app, and a marketplace the vendor counts at 300 or more integrations. The AI layer is prominent: an AI CoHost assistant that reviews live business data and recommends and helps carry out next steps, and AI Replies that draft and can automatically send answers to common guest questions. QuickBooks connectivity is named on the vendor homepage. There is an Open API, documented at api.hostaway.com/documentation, with a REST base at api.hostaway.com/v1 covering listings, reservations and calendar among other areas.

Pricing is the weak point of the published record. The Hostaway pricing page does not print a single figure. It groups buyers into listing count bands of 2 to 14, 15 to 49 and 50 or more, routes you through a three step form, and points single listing operators at a separate information page. No currency, plan names, minimum monthly fee, per listing rate, free trial or free version is stated. We therefore record no price at all for Hostaway, and we deliberately do not repeat the figures that review aggregators publish for it, because those are not vendor sourced. On ownership, Hostaway is privately held and heavily growth funded: it announced a 175 million dollar investment led by PSG in 2023 and a 365 million dollar round led by General Atlantic, whose release says that on completion General Atlantic and PSG Equity would both be significant minority shareholders. Reports on who holds control have conflicted, so we record the funding and not a control claim.

NoteHostaway publishes NO pricing figure on its own site. The pricing page carries no currency, no plan names, no minimum monthly fee and no per listing rate. It groups buyers into listing count bands of 2 to 14, 15 to 49 and 50 or more, routes enquiries through a three step form, and sends single listing operators to a separate page. It states nothing about a free trial or a free version, so both are unknown rather than no. Review aggregators do publish per listing figures for Hostaway; those are not vendor sourced and are deliberately not recorded here.

Strengths and limitations

Strengths

  • Direct API channel connections to Airbnb, Vrbo, Booking.com, Expedia, Google and Marriott Homes and Villas with a multi calendar view, which is the core double booking defence for a short term operator. verified source
  • Owner statements with templates, an owner portal and automated delivery, plus a direct booking website builder for operators trying to reduce OTA commission. verified source
  • Documented public REST API at api.hostaway.com, announced by the vendor itself, covering listings, reservations and calendar. verified source

Limitations

  • No pricing is published at all: the pricing page gives only listing count bands and a lead form, with no currency, plan names, minimum fee or per listing rate. verified source
  • Not a substitute for a long term property management system. There is no tenancy, arrears, compliance or lease machinery, so a residential or commercial letting business cannot run on it. editorial
  • Heavily growth funded and in rapid expansion, with the AI features the most prominent and most recent part of the marketing, so trial the newest modules rather than taking the demo at face value. editorial

Who it suits

Organisation sizes: Small, Medium, Enterprise

Who it fits. Hostaway suits professional short term rental managers with a real multi channel distribution problem, typically from a handful of listings up into the hundreds. If your bookings arrive from Airbnb, Vrbo, Booking.com and Expedia at once, and a double booking costs you a penalty and a bad review, a direct API channel manager with a single multi calendar is the core of the product you need. The direct booking website builder is a genuine differentiator for operators trying to shift mix away from OTA commission, and the owner statement and owner portal tooling matters if you manage other people's holiday homes and have to report payouts. The marketplace breadth means the usual short term rental stack, cleaning and turnover tools, locks, insurance and upsell products, is likely to be connectable.

Who it does not fit. A letting agency, a build to rent operator, a social landlord or a commercial managing agent. None of the machinery those businesses depend on is present or claimed: tenancy records with terms and renewals, rent arrears workflows, deposit scheme handling, gas and electrical compliance tracking, landlord client accounts that reconcile under regulation, or lease events such as rent reviews and break dates. If you run a mixed portfolio of holiday lets and long term tenancies, expect to run two systems and plan the reconciliation, rather than stretching either one across both. Hostaway is also a poor fit for an operator with a single listing, since the pricing page sends single listing enquiries down a separate path whose terms are not published, and for any buyer who needs to compare costs on paper before engaging sales, because nothing is published to compare.

Things to probe. First and most importantly, price. Because no figure exists on the vendor site, you are negotiating blind, so ask for the per listing rate within your band, any minimum monthly fee, the onboarding or setup fee, the contract term, and whether the AI features, dynamic pricing and the website builder are included or chargeable. Ask in writing which currency you will be billed in. Second, channel coverage in your market. Direct API connections to the big five are stated, but confirm the regional channels you actually depend on and whether they are API or iCal. Third, the accounting path. QuickBooks connectivity is named, but owner statements and payout reporting in a vacation rental tool rarely satisfy a statutory client money regime, so have your accountant review the output before you commit, and establish the export route into your ledger. Fourth, the API. Documentation is public and the API covers listings, reservations and calendar, but confirm the endpoints you need, the rate limits, whether a sandbox is available, and whether owner statement and accounting data is reachable programmatically or only by export. Fifth, the AI features. CoHost and AI Replies are recent and are the loudest part of the marketing, so trial them against your own guest messages and judge the quality yourself.

Typical use cases. A vacation rental management company unifying several OTA calendars and inboxes. An operator building a direct booking channel to cut OTA commission. A manager producing automated owner statements for holiday home owners across a portfolio.

Alternatives

Guesty Guesty The direct rival and the one you can actually price at the small end: Guesty Lite is 9 per listing per month for one to three listings with a 14 day trial, where Hostaway publishes no figure anywhere. Guesty also has publicly documented Open API material with OAuth 2.0, webhooks and a Postman collection. Note its pricing page never names a currency, and its own pages contradict each other on channel count.
Rent Manager London Computer Systems A cross segment suggestion with the market difference stated: Rent Manager is a long term property management system whose segment list includes vacation homes, but it has no OTA channel management, no guest messaging and no dynamic pricing, and its internet listing service advertising is not short term channel management. It cannot replace Hostaway for a holiday let operation, only sit beside it for long term stock.
PropertyMe PropertyMe Pty Ltd Offered only for an ANZ operator with both short term and long term stock, and only with the difference stated. PropertyMe is residential long term lettings software whose strength is Australian and New Zealand statutory trust accounting. It has no channel management, guest inbox or OTA connectivity, so nothing about Hostaway hospitality operations transfers to it.

Frequently asked questions

No, it is not built for that and we would not recommend trying. Hostaway is vacation rental software for short term stays sold through OTAs and direct booking sites. It is not a substitute for a residential or commercial property management system: there is no tenancy administration, no rent arrears and credit control over a tenancy term, no statutory deposit or safety compliance tracking, and no lease records. A long term letting agency should buy a long term platform.

Hostaway does not publish a price. Its pricing page shows only listing count bands (2 to 14, 15 to 49, 50 or more) and routes you into a form, with a separate path for single listing operators. No currency, plan name, minimum fee or per listing rate is given, and no free trial or free version is stated. Figures printed on review aggregator sites are not from the vendor, so ask Hostaway directly and get the billing currency in writing.

Hostaway is privately held and growth equity funded rather than owned by a single parent. It announced a 175 million dollar strategic growth investment led by PSG in 2023, and later a 365 million dollar round led by General Atlantic, whose release says that on completion General Atlantic and PSG Equity would both be significant minority shareholders. Press reports on who holds control have conflicted, so we record the funding rather than a control claim.
