What it is

Keelvar sells three named products plus an AI orchestrator: Autonomous Sourcing, Sourcing Optimizer, Rate Manager, and Kai, described as its AI orchestrator. The substance is sourcing event execution and bid optimisation. Sourcing Optimizer is described as Keelvar advanced eSourcing and bid optimisation product: model every scenario before awarding, make award decisions based on the full picture, and allow suppliers to compete on more than price, with scenario modelling across cost, risk, sustainability and other constraints at any scale of event. Autonomous Sourcing covers intelligent intake, supplier recommendation, event creation, multi-round bidding, bid evaluation with Kai recommending an award, and reporting. E-auctions are supported in several formats, with the FAQ naming Dutch, English and reverse. Rate Manager stores, monitors and tracks sourced rates.

What it does not cover is everything downstream of the award. Purchase requisitions, purchase orders and invoices are not mentioned anywhere on the Autonomous Sourcing or Sourcing Optimizer pages, nor are catalogue management, budget control or invoice matching. Its intelligent intake is sourcing-request intake feeding a sourcing event, not a requisition-to-purchase-order flow, and should not be read as intake-to-procure in the Zip sense. Contract management is not described; Rate Manager only stores and tracks rates. Keelvar own integrations page confirms the boundary in its framing: trigger sourcing events from your upstream systems, export award, bid or event data into downstream systems. The procure-to-pay layer is somebody else system. A useful corroborating signal: Zip lists Keelvar under its Procurement and Sourcing integration category, separate from ERP and Finance.

The disclosure gaps here are unusually large for an enterprise product and a buyer should weigh them. The integrations page names no specific system at all, only upstream systems, downstream systems and integrating Keelvar with all of your procurement tech stack, and it makes no API claim. There is no public documentation site. No page states cloud or SaaS in so many words, so even the deployment model is formally unknown despite it plainly being a web platform, and no trust or security page was found. Pricing is equally closed: keelvar.com/pricing resolves to a Contact Us page whose only content invites you to get in touch about sourcing outcomes, with no figure, unit, currency, tier, free version or trial. For a product aimed at large enterprises with complex supply chains, naming no integration and publishing no API claim is a real diligence gap.

One honest note on the one occurrence of Excel on Keelvar pages: it appears as the thing Keelvar replaces, in a line about moving from Excel to Keelvar Sourcing Optimizer. That is not an integration and is not recorded as one.

Ownership: Keelvar is independent and venture-backed with no acquisition or change of control found. Reported rounds are a Series A in 2020 of around 18 million dollars led by Elephant and Mosaic Ventures with Paua Ventures, and a Series B in May 2022 of 24 million dollars with Elephant, Mosaic, Paua, 83North and Firstminute named across sources plus a minority investment from a Celonis co-founder, totalling around 42 to 43 million dollars. Those figures come from press summaries rather than primary documents that were opened, and sources disagree on which investor led. No Series C was found and no controlling holder is disclosed, which for a private venture-backed company is normal. Absence of evidence of an acquisition is not proof of independence.

Capabilities

Each capability carries its own verification status. “Not verified” means exactly that: it has not been checked, and must not be read as absent.

CapabilityStatusNotes
Sourcing events and auctions Running sourcing events, reverse auctions and bid optimisation. Yes E-auctions in several formats, with the FAQ naming Dutch, English and reverse. source
Bid comparison and scoring Side-by-side comparison and weighted scoring of supplier bids. Yes Bid optimisation and evaluation: model every scenario before awarding, decide on the full picture, let suppliers compete on more than price, and Kai evaluates bids and recommends an award. Explicit weighted scoring methodology is not described. source
RFQ and tender management Issuing requests for quotation or tender and collecting responses. Yes Multi-round RFQs, with event creation and multi-round bidding also stated on the Autonomous Sourcing page. source
Documented API A publicly documented API for integration. Not verified No API or REST claim appears on the integrations page and no documentation site was found.
Supplier portal A portal where suppliers transact, submit invoices and maintain their own data. Not verified Suppliers receive invitations and submit bids, but no portal is named.
ERP integration Documented integration with finance and ERP systems. Not verified The integrations page names no system at all, referring only to upstream and downstream systems.
Budget control Checking and committing against budgets before approval. Not verified Not mentioned anywhere.
Spend analysis Classified spend reporting and savings analysis. Not verified A dashboard shows spend by month and by bot, which is reporting rather than spend analysis.
Invoice matching Two-way or three-way matching of invoice, order and receipt. Not verified Not mentioned anywhere.
Catalogue management Hosted or punch-out catalogues of approved items and prices. Not verified Not mentioned anywhere.
Contract management Contract repository, terms, renewals and compliance. Not verified Not described. Rate Manager only stores, monitors and tracks sourced rates.
Supplier management Supplier records, onboarding, qualification and performance. Not verified Supplier profiles are used for supplier recommendation but no management functions are listed.
Purchase orders Issuing and tracking purchase orders and receipts. Not verified Not mentioned anywhere.
Approval workflows Configurable, auditable approval routing and delegation. Not verified The home page says people set the rules and approve results, which is award approval rather than a configurable approval workflow.
Purchase requisitions Internal requests for goods and services with cost coding. Not verified Not mentioned. Keelvar intelligent intake is sourcing-request intake feeding an event, not a requisition flow.

Strengths and limitations

Strengths

  • The deepest bid optimisation and scenario modelling in this category: model every scenario before awarding, across cost, risk, sustainability and other constraints, at any scale of event. verified source
  • Autonomous end-to-end execution of tactical events, covering intake, supplier recommendation, event creation, multi-round bidding, award and reporting, which is real labour saving for teams running many small events. verified source

Limitations

  • Nothing downstream of award: no stated requisitions, purchase orders, invoices, catalogues, invoice matching or budget control, so it must sit beside a procurement suite or ERP. verified source
  • The integrations page names no system whatsoever and makes no API claim, which is unusually opaque for an enterprise product and a real diligence gap for any buyer who needs proven ERP connectivity. verified source
  • No published pricing, no public documentation, and no deployment statement anywhere, combined with explicitly enterprise-only positioning, makes it a poor fit for smaller organisations and hard to evaluate from outside. editorial

Who it suits

Organisation sizes: Enterprise

Keelvar fits large enterprises with complex supply chains, and it says so itself: its FAQ describes it as an agentic sourcing platform built for large enterprises with complex supply chains. The clearest fit is where awarding is genuinely a multi-constraint optimisation problem rather than a price comparison: freight and logistics tenders, multi-plant or multi-lane awards, categories where cost has to be traded against risk, sustainability, capacity and incumbency. It is the deepest scenario-modelling and bid-optimisation product in this category, and the autonomous execution of tactical and tail-spend events end to end is a real labour saving for teams running many small events.

It fits poorly anywhere else. There is nothing downstream of award, so it sits beside a procurement suite or ERP rather than replacing one. It fits poorly for small and mid-sized organisations given the explicit enterprise positioning and the absence of any published price. And it fits poorly if your procurement team must prove integration feasibility before purchase, because the integrations page names no system and claims no API, and there is no documentation to read. That is the single biggest practical objection to shortlisting it blind.

Typical use cases: running optimisation-led freight or direct-materials tenders; automating a high volume of tactical and tail-spend sourcing events with agents; adding auction capability and award optimisation alongside an incumbent suite such as Coupa, Zip or SAP Ariba; storing and monitoring sourced rates after award.

Alternatives

Fairmarkit Fairmarkit, Inc. The closest like-for-like, and the comparison this directory runs in full. Both are sourcing only, with no purchase orders or invoice matching. Fairmarkit answers Keelvar biggest weakness with named ERP integrations including SAP S/4 HANA, SAP Ariba, Oracle Cloud ERP, Coupa and Workday Financials, plus public buyer documentation and a real developer portal with webhooks. Not carried over: Keelvar scenario modelling and bid optimisation depth, which is the best in the category.
Market Dojo Market Dojo Ltd, a company of Esker Like-for-like e-sourcing at the other end of the market, with a published entry price of 1,000 pounds per month in stated GBP, a per-event option and no lock-in, plus weighted scoring, multi-stage tenders and forward, reverse, ranked and Japanese eAuctions. Also sourcing only. Not carried over: Keelvar constraint-based optimisation and autonomous event execution, and note marketdojo.com blocks automated access so its detail comes from Esker.
JAGGAER One JAGGAER, LLC (Vista Equity Partners) A move up a class to full source-to-pay, which is often the real question behind shortlisting Keelvar. JAGGAER brings five auction formats, multi-criteria weighted scoring and scenario sensitivity analysis alongside requisitions, purchase orders, n-way matching, catalogues and budget committed at requisition, none of which Keelvar has. Not carried over: Keelvar depth of constraint-based award optimisation.
Zip AI Procurement Platform Zip (ZipHQ, Inc.) A complement rather than an alternative, and Zip already integrates Keelvar. Zip supplies everything downstream that Keelvar omits, namely intake, dynamic approvals, purchase order management, catalogues, invoice checks and budgets, plus RFx with weighted scoring. It explicitly does not do auctions or bid optimisation, which is why the two are usually bought together rather than one instead of the other.

Frequently asked questions

No. Keelvar covers sourcing through award: RFQs, multi-round bidding, auctions, scenario modelling and award recommendation. Purchase requisitions, purchase orders, invoices, catalogues and budget control are not mentioned anywhere, and its own integrations page frames the procure-to-pay layer as somebody else system, with sourcing events triggered from upstream systems and award data exported downstream.

Its FAQ names Dutch, English and reverse auction formats, and the Sourcing Optimizer page refers to several auction formats alongside bid optimisation.

None by name. Its integrations page refers only to upstream systems, downstream systems and integrating with your procurement tech stack, and makes no API or REST claim. If ERP connectivity is a gating requirement, you will have to establish it directly with Keelvar.
