Best CMMS for Small Teams Running Under 500 Assets

Eight tools I would actually put in front of a two-to-fifteen person team running fewer than 500 assets, ranked by how fast a non-specialist can get real work orders flowing without paying for a consultant.

Most "best CMMS" lists are written for plants with 5,000 assets and a maintenance planner on staff. This one is not. I spend my working life implementing enterprise EAM and CAFM, and precisely because of that I will tell you plainly: if you run a small team under 500 assets, the enterprise tools I get paid to deploy are the wrong answer for you. You need something a technician can learn in an afternoon. Here is how I judge that, then eight products that clear the bar.

How I judge a small-team CMMS

A small team does not have a systems administrator, a data migration budget, or the patience for a six-month rollout. So I score every tool on the same eight things, in the order they actually bite:

  • Time to first work order. From sign-up to a real, assigned, mobile work order. If it takes more than a day, a small team will quietly go back to WhatsApp.
  • Self-service setup without a consultant. Can you build your asset list, sites and PMs yourself, or does the vendor push you into a paid onboarding package?
  • Mobile usability. Technicians live on their phones. The app has to work offline, load fast, and let someone close a job with one thumb.
  • PPM scheduling. Time-based and meter-based preventive maintenance that a non-planner can set up and trust.
  • Basic parts tracking. Not full inventory optimisation. Just: what spares do I have, what did this job consume, when do I reorder.
  • Request intake from non-technical staff. A way for a receptionist or tenant to raise a request without a paid seat or any training.
  • Reporting a manager can run alone. PM compliance, open work orders, cost by asset, without exporting to Excel or calling support.
  • Total cost at 3, 8 and 15 users. Small teams grow in small steps, and per-seat pricing can triple your bill between year one and year three.

Two categories most enterprise buyers obsess over, reliability engineering and deep finance integration, are deliberately absent. At this size you do not need them, and paying for them is how small teams end up with shelfware. If you are still unsure which category you are even shopping in, start with CAFM vs CMMS vs EAM vs IWMS and then which one is right for you.

Why you should probably avoid enterprise tooling

I implement IBM Maximo, Hexagon EAM and Planon for a living, so read this as advice against my own commercial interest: at your size, none of those belong anywhere near you. The reason is not price alone, though a $60,000 first-year EAM bill for a team of six is absurd on its own. The real killer is the operating model. Enterprise tools assume a role that maintains the system, a data steward, a report writer, and change control. A small team has none of that. The software then rots, because nobody owns the setup, and within a year you are back to spreadsheets while still paying the licence.

The honest test

If a single motivated technician cannot stand the whole thing up in a week of part-time effort, it is too big for you. Every tool below passes that test. Maximo, SAP PM and Infor EAM do not, and I would tell a small client exactly that on a first call.

The eight-product shortlist

These are ordered roughly by how quickly a small team gets value, not by raw feature count. For each I disclose how much hands-on time I actually have with it, because you deserve to know when I am speaking from a deployment versus a demo.

1. MaintainX

Hands-on: I have configured it end to end for a small facilities client and used the mobile app daily during their pilot.

  • Best at: mobile-first, procedure-driven work. Technicians close jobs, log parts and capture photos from a phone, and the AI turns manuals and notes into reusable digital procedures. Adoption is genuinely the strongest I have seen at this size.
  • Weakest at: deep parts and multi-location inventory. Limble handles stores and reorder logic more seriously if that is your pain.
  • Setup time without help: half a day to first work order; a couple of evenings for PMs and procedures.
  • Pricing at 8 users: roughly $170/month on the Essential tier, near $390/month on Premium (about $21 and $49 per user per month respectively). Unlimited free requester seats.
  • Right for: teams that want adoption above all else and live on their phones.

2. Limble

Hands-on: I have run two trial builds and scoped a small-plant rollout; I have not operated it in production for a full year.

  • Best at: the balance of depth and usability. PM scheduling, parts and reporting are all a notch more capable than the pure mobile-first tools, yet a non-planner can still self-serve.
  • Weakest at: raw request-portal simplicity for casual staff; MaintainX feels slightly friendlier to a first-time requester.
  • Setup time without help: one day to first work order; two to three evenings for a solid PM library.
  • Pricing at 8 users: around $220/month on Standard, near $550/month on Premium (about $28 and $69 per user per month). Free requester submissions.
  • Right for: small plants and facilities that want room to grow into real reporting without changing tools.

3. UpKeep

Hands-on: I have built a demo tenant and reviewed it for a client shortlist; no production deployment of my own.

  • Best at: a clean request-to-work-order flow that non-technical staff grasp instantly. The requester experience is one of the tidiest here.
  • Weakest at: value at the entry tier. Meter-based PMs and better reporting sit behind higher plans, so the price climbs faster than Limble as you add capability.
  • Setup time without help: half a day to first work order; PMs are quick once assets are loaded.
  • Pricing at 8 users: roughly $360/month on Starter, higher on Professional (about $45 and $75 per user per month). Watch the tier jumps.
  • Right for: single-building facilities where inbound requests are the main job.

4. Fiix

Hands-on: I have integrated Fiix with an ERP on a mid-size project, so I know its data model better than its small-team onboarding.

  • Best at: a genuine free tier and a solid asset model. If you want to prove the concept at zero cost before committing, Fiix lets you.
  • Weakest at: feeling lightweight. It carries more enterprise DNA than the mobile-first crowd, so the interface asks more of a first-time user than MaintainX does.
  • Setup time without help: one to two days; the extra structure costs you a little upfront time.
  • Pricing at 8 users: free tier for basics; the Professional tier lands near $360/month (about $45 per user per month) once you need PMs and integrations.
  • Right for: small teams that expect to scale up and want a data model that will not box them in.

5. eMaint (a Fluke company)

Hands-on: demo and vendor briefings only; I have not implemented it, and I will not pretend otherwise.

  • Best at: configurability and condition-monitoring tie-ins through the Fluke hardware ecosystem. If you already run Fluke sensors, the pairing is real.
  • Weakest at: speed to value for a tiny team. Its flexibility is its cost: expect to spend time configuring, and the entry price per seat is high.
  • Setup time without help: several days, and vendor onboarding is genuinely useful here rather than optional.
  • Pricing at 8 users: around $550/month (roughly $69 per user per month, three-user minimum). Among the pricier options at this size.
  • Right for: small maintenance teams inside larger firms that value configurability and already own Fluke tools.

6. Hippo CMMS

Hands-on: trial account and one client evaluation; no long-run production experience.

  • Best at: plain, no-nonsense usability. Floor-plan-based work order creation is a nice touch for building-centric teams, and the learning curve is gentle.
  • Weakest at: mobile polish and modern AI features. Next to MaintainX or Limble the app feels a step behind.
  • Setup time without help: half a day to a day; onboarding is straightforward.
  • Pricing at 8 users: roughly $310/month (about $39 per user per month), though Hippo has revised its packaging before, so confirm current tiers.
  • Right for: facilities teams that want simple and visual over feature-rich.

7. Maintenance Care

Hands-on: demo and pricing review only.

  • Best at: flat, predictable pricing. Paid tiers are priced per facility rather than per seat, which is a gift when you have many casual users and a modest budget.
  • Weakest at: depth. Parts tracking and reporting are basic, and there is no serious reliability or analytics story.
  • Setup time without help: a few hours; it is deliberately simple.
  • Pricing at 8 users: a free work-request tier, then roughly $100 to $200/month flat for the paid editions regardless of user count. Users are effectively unlimited.
  • Right for: healthcare, senior-living and single-site facilities with many light users and a tight budget.

8. Click Maint

Hands-on: demo only; this is the newest tool on the list and I am watching it rather than deploying it.

  • Best at: low price for the core CMMS basics done cleanly. Work orders, PMs and requests without the bloat, at a friendly entry cost.
  • Weakest at: track record and ecosystem. It is young, so integrations and community knowledge are thinner than the incumbents.
  • Setup time without help: half a day; the scope is intentionally small.
  • Pricing at 8 users: roughly $280/month (about $35 per user per month), with unlimited free requesters.
  • Right for: cost-sensitive small teams that want the essentials and nothing they will never use.

Ratings are my judgement for a team under 500 assets, not a universal verdict. A tool marked "Basic" on parts may still be perfect if parts are not your problem. All prices verified as of 1 August 2026 and change often.

Match it to your team

Feature grids do not choose software; your situation does. Here are the three small-team profiles I meet most, and where I would point each first.

Profile 1: single-building facilities (office, clinic, school)

Your defining trait is inbound requests from non-technical people: "the AC in room 3 is broken", "the front door lock sticks". You need a dead-simple request portal and a tidy work-order queue more than deep PMs. Start with UpKeep or MaintainX. If you have many casual requesters and a small budget, Maintenance Care at a flat per-facility price is hard to beat.

Profile 2: small plant or workshop

Here it is equipment, not people. You care about meter-based PMs, failure history and parts on the shelf. You will grow into reporting. Start with Limble for the depth-to-usability balance, or Fiix if a free tier to prove the case matters and you expect to scale. eMaint earns a look only if you already run Fluke condition monitoring.

Profile 3: property or multi-site portfolio

A handful of buildings, tenants or units, one small team covering all of them. You need multi-location work orders, per-site cost reporting a manager can run alone, and cheap or free requester seats so tenants can log issues. Limble and MaintainX both handle multi-site cleanly at this scale; Click Maint is the value pick if the essentials are all you need. Just make sure the tool treats "sites" as first-class, not a paid add-on.

When a spreadsheet still wins

I sell implementations, and I will still tell you the truth: sometimes a spreadsheet is the right tool, and a CMMS would be overhead you do not recoup. That is genuinely the case when all three of these hold at once.

The three conditions where a spreadsheet genuinely still wins
  1. Very few assets and almost no PMs. Under about 30 assets with mostly reactive work, a shared sheet with a status column is faster than any tool and costs nothing.
  2. One or two people who talk daily. If the whole team fits at one table and coordinates by conversation, a CMMS adds process without solving a real communication gap.
  3. No external requesters and no audit or compliance need. The moment tenants log requests, or an auditor wants PM evidence, the spreadsheet breaks. Until then it may be fine.

Break any one of those, more assets, more people, or an outside party who needs to raise and track requests, and the spreadsheet starts costing you in missed PMs and lost history. That is the signal to move, and any tool on this list will do it.

Whatever you pick, resist the pull of the biggest, most enterprise-looking option. At under 500 assets, restraint is the whole strategy: the best CMMS is the smallest one your team will actually use every day.
